_Who it's for_

## Replacement staff need the right role and site knowledge.

When unplanned leave opens a shift, residents' service tasks still need doing, and whoever covers needs the handover notes. Managers, roster coordinators and care staff each see the shift and its work together.

_How it runs_

## Staffing requirements, shift work and time records.

_[ 01 ]_

### Coverage requirements

Resident service needs and operating patterns show the coverage each home requires by role, qualification, and time.

_Illustration: Skedulo coverage plan on a hatched ground for one week: Registered Nurse, Enrolled Nurse and Support Worker rows against the seven days, each day rostered against required at one nurse to four and at least two per role, with an extra RN on Saturday. Amber cells mark the shifts still short of their role: 58 required, 54 rostered and 4 to fill, with labour cost at $64,020 against a $68,000 target._

_[ 02 ]_

### Roster planning

Skedulo builds rosters around demand, roles, sites, availability, qualifications, and workforce rules.

_Illustration: Skedulo roster builder on a hatched ground, 1 - 7 March: three shift templates - Morning 6am - 2pm, Afternoon 2pm - 10pm, Night 10pm - 6am - over a seven-day roster for Carol Ng, a Registered Nurse, and Kevin Maszaros, a Support Worker, with one open Registered Nurse shift on Sunday afternoon. Allocate picks Bridget Hanley, available, qualified and within the award, and the shift turns solid with her initials; beside it the offer path - targeted to 4 eligible, first to accept._

_[ 03 ]_

### Published shifts and tasks

Staff receive the roster with shift details, resident service tasks, and handover notes attached.

_Illustration: Skedulo Publish complete dialog on a hatched ground: 56 shifts published and everyone on the roster notified, with the notices that went out - two unassigned Saturday morning shifts still open, Monday's double-booking resolved before publishing, and cover confirmed for Gloria Benitez's Friday leave._

_[ 04 ]_

### Unplanned leave and shift offers

Managers compare eligible staff with overtime, continuity, and task impact visible, or send a shift offer to eligible staff.

_Illustration: Skedulo open-shift offer on a hatched ground: Saturday 8 March, a 2pm - 10pm afternoon shift for a Registered Nurse, unassigned and under offer. Targeted to 4 eligible staff first to accept, then widened to 9 eligible; Carol Ng has seen it, Gloria Benitez declined and Bridget Hanley accepted, so the shift turns allocated to Bridget and the 8 others are notified._

### Work during the shift

Staff can view resident service tasks, forms and care notes in Mobile, then update progress as work is completed.

_Illustration: Skedulo mobile app on an iPhone cut off at its lower third: a support worker's Summary at 1:52, today's 2pm - 10pm shift starting in 8 minutes and the next three shifts. A banner offers an open shift on Sunday 9 March; its page shows the clinic on a map, the role and Accept, which is pressed, and Sunday 9 March joins the upcoming shifts. At 2:00 the shift's page opens: Start shift is pressed, the shift is in progress with its start time recorded, and at 5:48 the medication rounds task is ticked done_

### Time and exception review

Review arrivals, completed tasks, exceptions and recorded time. Integrations can share the relevant records with payroll, HR and reporting systems.

The issue lands in red on a blank screen and becomes the task's header; Tempo reads the care plan, the aides off tonight and the night roster, and the context panel opens on Glenys and Willow. Tempo picks Hoa Pham, trained in memory care and rested, opens the shift, offers it to her and rosters her_

## Regal Health grew from 70 to nearly 200 staff with less administration.

- **Before**
  - Heavy administration for a team of 70.
  - A 20-year-old model that no longer matched how the business ran.
- **With Skedulo**
  - Scheduling and rostering unified for the entire field workforce of nurses and support workers.
  - Resource planning built around real customer requirements.
- **Outcome**
  - Nearly 200 staff rostered with minimal administration.
  - 97% of jobs still fulfilled during a period when 48% of staff were isolating.

> Before, the level of admin work to support 70 staff was very heavy. Now, we have nearly 200 staff and the level of admin is minimal.
>
> — David Thompson, Operations Manager, Regal Health

- **35%+** — drop in operating costs (excluding staff pay) as a share of revenue, while scaling from 70 to nearly 200 staff

## Frequently Asked Questions

### Can Skedulo roster aged care staff by role and qualification?

Yes. Staff records hold roles, qualifications and expiry dates, and Skedulo uses them with availability, sites and workforce rules when building rosters and offering shifts. Templated rosters let managers reuse proven patterns instead of rebuilding each period from scratch.

### How does Skedulo handle unplanned leave and open shifts?

Review available staff, recorded requirements, existing assignments, and workforce rules, then allocate cover or send a shift offer. Tempo can help prepare options; confirm cost treatment in your workforce and payroll process.

### Can resident care tasks and handover notes travel with each shift?

Yes. Resident service tasks, forms and handover notes attach to shifts, so staff see the roster and the work they need to complete in one place. Status updates show what was completed during the shift, and recorded time and exceptions go to payroll and reporting for review.

### Can Skedulo help us keep registered nurse coverage on every shift?

Set recorded role and qualification requirements for the shifts that need a registered nurse, then review coverage and available replacements. Your organisation verifies suitability and meets staffing obligations; scheduling does not guarantee coverage or replace regulatory reporting.

### Can one platform roster residential sites and schedule home care visits?

Yes. Skedulo handles shift rostering and visit scheduling on the same platform, so registered providers running residential care homes alongside Support at Home or other home care services can plan both from one workforce. Staff whose shifts include home visits see the shift and each visit in the same mobile app.

### How does Skedulo connect rosters with resident service work?

Plan residential shifts alongside resident service tasks and, where needed, home visits. Our Pulse Platform lets you build supporting records and workflows, with configured connections to payroll and other systems.
