_Who it's for_

## A changed event order affects more than the guest count.

Menu, attendance and venue updates can change preparation, deliveries and staffing at once. Managers review the change against arrival and service times, and the crew sees the updated details in Mobile.

_How it runs_

## From event order to service closeout.

_[ 01 ]_

### Event orders and service requirements

Booking, contract, recurring service, or customer update creates staffing demand.

_Illustration: Skedulo demand forecast panel for the front of house at Harbourside, Sat 8 to Fri 14 Mar 2026: the drivers fed in - guest traffic, 2,800 a day from the door counters, deliveries booked, 6 a day, and a long weekend on Sat 8 as an event band at x1.2 staff - translated into 1 per 120 guests an hour, a minimum of 2 on the floor and trading hours 6am - 10pm, then the Team Member forecast as a range, a target line and planned bars. The long weekend applies: Saturday's target climbs above its bar and the foot reads required 20, planned 19, to fill 1, within the approved cap_

### Crew allocation

Crew matched by role, skill, availability, location, and service window.

_Illustration: Skedulo shift drawer: a Draft shift on Sat 1 Mar, 2pm - 10:30pm - shift length 7h, a 1h break, shift cost $304 - and its details: scheduled Sat 1 Mar, 2pm - 10pm, location Front of house - Harbourside, role Barista, tagged Food safety and Alcohol service_

### Preparation and site tasks

Setup, delivery, equipment, menu, and closeout tasks become mobile work.

Text is picked up and dropped between two fields, opening as a selected component whose label types in as Permit number and whose instruction types in as As printed on the signed permit_

### Service details on Mobile

Staff see location details, timeline, tasks, notes, and completion steps on mobile.

### Changes to staffing and timing

Managers rebalance crew, tasks, or timing when event details shift.

_Illustration: Skedulo web app, Messaging: a new broadcast from Wade Brennan, Field Supervisor. Audience chips go in one at a time - North region crew, South region crew, then two locations, Harrison St depot and 2900 Larimer St - and the reach climbs from 12 to 38 people. Closure is picked as the type. The message: 2900 Larimer St is closed this afternoon after a power outage; report to the Harrison St depot; today's jobs there have moved to tomorrow. Send is pressed: Broadcast sent, delivered to 38 people across 2 teams and 2 locations, read by 24_

### Service and closeout records

_Tempo_

## Review event requirements with Tempo.

Compare crew assignments and work through event changes with Tempo, using the booking records and workflows enabled for your team.

[Meet Tempo](https://www.skedulo.com/product/tempo/)

_Illustration: Skedulo Tempo working a booking change from its issue: the client raises tonight's plated banquet from 180 to 200 guests, so at one server for every 20 guests the crew is a server short. The issue lands in amber on a blank screen and becomes the task's header; Tempo reads the event order, the on-call servers and their food handler certificates, and the context panel opens on the banquet's numbers and the order. Tempo passes over an expired certificate and an overtime shift, texts Simone Adeyemi the shift, adds her to the crew and sends the chef the count of 200._

_From event order to service closeout_

## Staffing and tasks for the full event.

Crew requirements sit alongside preparation, delivery and site work, with completion records available for review.

### Event crew matching

Match roles, skills, availability, and service window for every event.

_Illustration: Skedulo scheduling objectives card, marked Active: three objectives in rank order - service level, keep every promised window; travel time, the shortest drive between jobs; resource use, fill each team member's day before adding one - and the rules a match must pass, licensed for the job type and within 25 miles of home base checked, overtime to close a gap left off_

### Preparation through closeout

Turn prep, delivery, setup, service, and closeout into tasks.

_Illustration: Skedulo Tempo on a soft blue card. The manager has asked, Hey Tempo, tell me about Doug's schedule tomorrow, and Tempo answers: Doug has 3 jobs on Thursday, from 8:00 AM to 3:00 PM, with 40 minutes of driving. A slim strip under the answer shows the three jobs across his day. Below, the message box waits for a follow-up_

### Mobile details and checklists

Put details and checklists on mobile.

_Illustration: Skedulo mobile completion form card: Follow-up needed switches on and a dashed section opens with Reason, Part on order, and Return window, Fri 15 Aug, 8:00 - 10:00 AM, then the guest signature line fills with Helen Pryor's signature, signed at 3:24 PM_

### Revised event plans

Adjust staff and timing when bookings shift.

_Illustration: Skedulo schedule card for Wed 13 Aug: Gloria Benitez's afternoon from 1 to 5:30 PM, and JOB-4821 on her lane turns rose, at risk. Tempo's recommendation lands under it - Gloria is running late to JOB-4821, move it to 2:30 PM - and the job slides to 2:30 PM as the proposal; Mark Doherty approves and it settles there. Then Mastermind's recommendation lands: tomorrow's routes optimized, 51 minutes of travel cut each_

### Closeout and outstanding work

Capture closeout evidence and open issues.

_Illustration: Analytics tile: 97% clean closeouts of 312 completed jobs, up 1 point, with a bar each for forms complete 99%, photos attached 95% and sign-off captured 96% - the photos bar filling from 94%_

## How a large-scale field operation put Skedulo to work.

- **Paper-based processes** — Scheduling and completed-work data lived across paper, spreadsheets, and whiteboards, with no shared view.
- **One digital system** — Scheduling and daily work move through one connected, mobile-first process.
- **A live operating view** — Managers get a daily dashboard of what's scheduled and how performance compares to target.

> For managers, daily dashboards give a helicopter view of what we have scheduled and how we're performing against targets. All that information is at our fingertips and allows us to modify our trajectory, which is very powerful... We've gone from 100% paper-based to 90% digital.
>
> — Kimberley Bradbury, Salesforce Platform Manager, Mainmark

- **90%** — Reduction in paper-based work

## Frequently Asked Questions

### How do you schedule catering staff when guest counts change?

Start with the event manager's requirements for roles, preparation, venue access, and service timing. When guest count or menu changes, review those requirements and update the crew and task assignments. Tempo can help with that coordination using available records.

### Can Skedulo schedule catering teams by event and role?

Yes. Crews are scheduled by role, skill, availability, location and service window for each event. Open shifts can be offered to eligible staff, and managers can rebalance the crew when event details shift.

### Can crews complete setup and closeout checklists on mobile?

Yes. Give crews task details and checklists for preparation, delivery, setup, service, and closeout. Review submitted records and assign follow-up for missing information or unfinished work.

### Can Skedulo plan crews traveling between event sites?

Yes. Include travel and setup time when planning arrival windows. Review existing assignments before sending a crew to another venue, and share updated details on mobile.

### Can Skedulo integrate with event booking or workforce systems?

Yes. Integrations and APIs connect Skedulo with event booking, workforce and reporting systems, so a booking can create staffing demand and hours and completion records can flow back. What's shared depends on the integration you configure.

### Can we schedule agency or temp servers alongside our own catering staff?

Yes. Workers can carry an employment type such as Agency, so temp servers sit in the same schedule as your employees and are matched to events by role, skill and availability. Scheduling rules can be scoped by employment type, and managers see the whole crew for each event.
