_Who it's for_

## Participant rosters, from templates to completed supports.

Supported independent living shifts, in-home support and community access can draw on the same support workers. When someone calls in sick, the replacement needs the required skills and current checks and should be someone the participant knows where possible.

_How it runs_

## From participant plan to rostered supports and recorded time.

_[ 01 ]_

### Participant routines & support requirements

Turn recurring supports, SIL shifts and community access into rostered work, with participant needs, required skills and routines attached.

_[ 02 ]_

### Skills, checks & continuity

Match support workers using skills, recorded checks, participant preferences, relationship history, location and availability, from shared or separate staff pools.

_Illustration: Skedulo best-match card for community access visit VISIT-4821: Gloria Benitez ranked first with a 96 match on a pale green row, 10 minutes added and 3.1 km from her last visit, #4830; then Doug Lindqvist at 81, 26 minutes added and new to Liam, the participant; and Bridget Hanley at 64, 38 minutes added with her shift ending at 3:30 PM_

### Replacement options

Coordinators compare eligible support workers with continuity, travel, participant impact and overtime visible before approving a change.

_Illustration: Skedulo roster change card headed Move Doug Lindqvist, Mon 3: the support worker's morning shift (6am - 2pm, dashed) moving to the afternoon (2pm - 10pm), an arrow between. Under it the impact, evaluated before confirming, in three blocks: Cost +$46, 2h overtime at 1.5x; Award, min break 10h is 16h, Pass in green, and max weekly 38h would be 40h, Warn in amber, the block turning amber; Approval routes to Jen Alvarez, Rostering Manager. Then Cancel and a primary button that re-labels from Confirm to Request approval_

### Support records & time

Support workers record notes, incidents, completed supports, time and travel during the shift.

_Illustration: A Skedulo card reconciling support worker Kevin Maszaros's Sat 1 Mar afternoon as three layers on one time axis from 2 pm to 10:30 pm, each with its sum on its caption line: Shift 8h 08m over the grey 2:00 - 10:00 pm bar with the break notched out; Supports 6h over two blue bars, Liam's outing 2:15 to 5:30 and Evening care 7:00 to 9:45; Tasks 3 of 3 over three green ticks, named under the axis with their times - Travel, 18 km at 5:30 pm, Incident report at 7:30 pm, Progress notes at 9:45 pm_

### Client & workforce system integration

Integrations share completed supports, time, travel and exceptions with your client management, award interpreter, payroll and reporting systems. Billing and NDIS payment requests stay in the systems you already use for them.

_Illustration: A Skedulo card of approved time for 1 - 7 Mar: at the top a lock tile, 97 records, 800 h, approved and locked Fri 7 Mar; a thin line runs down from it and branches into three systems under it, each with a tile, a name, what it takes and its sync status - Award interpreter, 800 h and 412 km of travel; Billing, the supports delivered; Finance, labour cost for Logan - each with a green Synced pill, the branches traced in blue, and on the card's floor a green line: Shared with 3 systems, 5:04 pm_

_Tempo_

## Work through roster changes with Tempo.

Tempo helps coordinators prepare assignments and work through changes to supports. Available records, actions, and approvals depend on your setup.

[Meet Tempo](https://www.skedulo.com/product/tempo/)

_Illustration: Skedulo Tempo covering a support worker's sick call from its issue: Kevin Maszaros calls in sick for the 2:00 PM - 10:00 PM shift at Springwood house, a Supported Independent Living house in Logan, the shift that takes Liam to his 3:00 PM outing. The issue lands in red and becomes the task's header; Tempo reads the sick call, Liam's preferred workers and the SCHADS Award, and the context panel opens on the uncovered shift and the award's minimum engagement and paid travel. Tempo weighs three support workers, picks Gloria Benitez, whom Liam knows, rosters her and texts the house and Liam's mum_

_The Toolkit_

## Plan and record participant support.

### One support schedule

Plan SIL shifts, in-home supports and community access visits on the same schedule.

_Illustration: Skedulo Publish complete dialog: a green notice, Published 56 shifts, everyone on the roster has been notified, and under Notices the three things the publish settled on one support roster, each with View - Sat 1, 2 morning shifts at Springwood still open; Mon 3, a community access visit moved to 10am; Fri 7, Gloria Benitez's in-home supports covered - then Ok_

### Support worker matching

Match on skills, recorded checks, participant preferences, continuity, location and availability.

_Illustration: Skedulo shift scheduling card tracking an open-shift offer: Sat 8 Mar, Springwood house, a 2pm - 10pm afternoon shift for a Support Worker, unassigned and Under offer. The rule line reads Targeted - 4 eligible, first to accept, to the workers the residents know; three answer - Carol Ng seen, Gloria Benitez declined. Expand offer turns it to Broadcast - 9 eligible, widened to casuals and Daisy Hill house; Bridget Hanley accepts, Allocate puts her on the shift, the pill turns Allocated and a green line says 8 others were notified_

### Roster changes with Tempo

Prepare replacement options using recorded participant preferences, staff requirements, and availability.

Below it two small cards point up into the box with arrows: Rules, a current Worker Screening Check and no overtime without approval; and Approval, Reassign SH-4841, approved by Mark Doherty._

### Support details on mobile

Give support workers participant details, alerts, tasks, forms and follow-up steps on mobile.

_Illustration: Skedulo mobile shift handover form card: Evening routines at 9:30pm and Shower chair replaced are ticked done, Hoist battery low is marked Open in amber, and a dashed section opens under it - Status, Reordered; Impact, Spare in use; and Responsible for the next step, support worker Doug Lindqvist, with his photo_

### Templated rosters

Reuse proven roster patterns instead of rebuilding each roster period from scratch.

_Fits your systems_

## Connect rostering with the systems behind it.

Connect the support roster to client management, finance, and workforce systems. Agree where each record belongs and which updates the integrations should exchange.

### On Salesforce or standalone

Run Skedulo natively on Salesforce, where it reads and writes your existing objects, or as a standalone system on the Skedulo Pulse Platform.

_Illustration: Skedulo integrations card, Connected: the Skedulo mark in the middle of a small map, Salesforce (participants) and Workday (worker details) wired in on the left, Salesforce (support status) and Finance (billing) wired out on the right. A packet runs each wire in turn - participant records in, the support workers' hours and leave in, each support's status back to Salesforce and the completed supports on to Finance for billing - and each wire stays lit_

### Client management and finance

Completed supports, time and travel go back to your client management or finance system through integrations and APIs. The data exchanged depends on the integration configured for your implementation.

_Illustration: Skedulo card for VISIT-4803, a community access visit completed Wed at 5:21 PM, and its records going out with nothing to export: the support status to the participant's service agreement in Salesforce at 5:21 PM, the completed support with 18 km of travel to Finance for billing at 5:22 PM, and Gloria Benitez's approved hours, 7.25, to Workday on Thursday at 8:30 AM - 3 sent, each ticking green in turn._

### Award interpreter and payroll

Recorded shift times and travel go to your award interpreter and payroll system, which apply the SCHADS Award. Skedulo's Australian solution includes integrations with multiple award interpreter systems.

_Illustration: Skedulo card for payroll and billing: the ADP logo beside a finance mark, Connected, 2 data flows. On schedule at 6:00 PM, Fri 15 Aug, the week's approved time - 42 timesheets, 1,526 hours - goes from Skedulo to the pay run with the SCHADS Award applied, 42 synced in 3.4 seconds. Then the completed supports: 186 this week to Finance as invoice lines ready to bill._

### HR and Workday

Worker records and availability can come from your HR system. Skedulo is a Workday Innovation Partner with a connector on Workday Marketplace.

_Illustration: Skedulo card for the Workday integration: the Workday logo, Connected, 3 data flows. The 6:00 AM sync brings Gloria Benitez's leave for Fri 22 Aug from Workday and she shows unavailable in Skedulo, approved: 6 synced in 2.7 seconds. Then the hours go back: her approved Wednesday, 7.25 hours, reaches Workday time tracking in real time at 8:30 AM._

## IDSS sees pending shifts, available staff and shift progress on one screen.

- **Before**
  - Two earlier scheduling platforms, one "aged-care focussed and impossible to scale".
  - A lack of the audit and compliance management an NDIS-registered service relies on.
- **With Skedulo**
  - Swimlanes show shifts pending allocation, available resources and the progress of each shift on a single screen.
  - Participant details and files sit in one central location.
- **Outcome**
  - Support workers see health or other alerts, NDIS Plan goals and incident reports on mobile.
  - Group-based support workers mark off attendance in the app.

> This reduces administrative time and the burden of our office staff's most time-consuming task: rostering.

## Frequently Asked Questions

### Is Skedulo built for NDIS providers?

Yes. Skedulo supports participant scheduling, rostering and support documentation for NDIS providers, and IDSS, a registered NDIS provider in Queensland, uses it to give support workers participant details, NDIS Plan goals and incident reporting on mobile. NDIS payment requests and plan budgets usually stay in your client management or finance system, which Skedulo connects to through integrations.

### Can Skedulo match support workers on screening checks, skills and participant preferences?

Yes. Skedulo matches support workers using skills, recorded checks, participant preferences, relationship history, location and availability. NDIS Worker Screening Checks and first aid certificates can be recorded with expiry dates, so an expired record shows up before a shift is filled. Coordinators still confirm each worker's current screening status and suitability, and participant choice guides who delivers support.

### Can providers roster SIL shifts and community access visits together?

Yes. Recurring SIL shifts, in-home supports, and community access visits can share a schedule. Coordinators review preferences, continuity, availability, and travel when assignments overlap.

### What can support workers see and record on mobile?

Support workers get their shifts, participant details, tasks and forms in the Skedulo mobile app, and record notes, incidents and completed supports as they work. At IDSS, support workers see health or other alerts, NDIS Plan goals and incident reports, and can complete incident reports closer to the time of the incident. Group-based support workers also mark off attendance in the app.

### Does Skedulo handle SCHADS Award rules like broken shifts, sleepovers and travel between clients?

Broken shifts, travel between participants and sleepovers carry SCHADS Award conditions, so a quick swap can change what the shift costs. Skedulo records shift times, travel and completed supports, and checks rosters against the workforce rules you configure. Award interpretation under the SCHADS Award, such as broken shift allowances and paid travel time, is handled by your award interpreter or payroll system. Skedulo's Australian solution includes integrations with multiple award interpreter systems.

### Does Skedulo run on Salesforce, or on its own?

Either. Skedulo runs natively on Salesforce, reading and writing your existing objects, or as a standalone system on the Skedulo Pulse Platform, connected to your client management, HR and payroll systems through integrations and APIs. IDSS runs Skedulo on Salesforce and says that setup "allows for deeper customisation out of the box".

### How does Skedulo fit alongside client management?

Use Skedulo for support scheduling and mobile work alongside your client and finance systems. Our Pulse Platform lets you add fields, related records, and workflows for the way your services operate.
