_Tempo_

## Work through site assignments with Tempo.

Ask Tempo about open site work, review assignments and prepare replacement options with your supervisors. The records, actions and approvals available depend on your setup.

[Meet Tempo](https://www.skedulo.com/product/tempo/)

_Illustration: Skedulo Tempo working a site incident from its issue: on her 2:40 AM round at Dockside Precinct, officer Gloria Benitez finds Dock 2's roll-up door forced and its lock broken, and the post orders keep an officer on any door that won't lock. The issue lands in red on a blank screen and becomes the task's header; Tempo reads the incident report, the post orders and the on-call trades, and the context panel opens on the dock and the time to the first truck. Tempo picks the locksmith on call; once started, the plan sends him, gives Gloria's rounds to the control room and tells the site supervisor._

_Why this is hard_

## Urgent site work competes with scheduled commitments.

A guard calls out, a repair becomes urgent, or an inspection finds a problem. Supervisors need to respond while keeping planned coverage, cleaning, and maintenance on track.

### Site requirements limit when work can happen

Guard posts must be staffed at set times, cleaning may depend on building access, and maintenance can require a shutdown window. Each service needs a schedule that fits the site.

_Illustration: Skedulo job card for Job #4821, a water changeover service pending dispatch, held by its dependency: it depends on JOB-4830, now marked Complete, and is cleared to start 40 minutes after that job finishes, to allow for travel time_

### Qualifications and site access narrow the options

An available worker may lack the required license, certification, or site clearance. Supervisors need to check both the assignment requirements and the person’s availability before making a replacement.

_Illustration: Skedulo job card for JOB-4809, a rooftop package unit install on Wed 13 Aug, 9:00 AM - 1:30 PM, pending dispatch, with an amber exception - missing requirement: EWP licence, required - and the three people proposed for it along its foot_

### Site records sit across forms and photos

Patrol logs, cleaning checklists, and maintenance photos sit in separate places. Supervisors have to piece them together to confirm what happened and what still needs attention.

_Illustration: Analytics tile: 14 corrective actions open across 6 owners, down 3 on last week, the oldest open 11 days - a donut by how long each has been open, the median 4 days in the middle - 7 opened in the last two days in green, 5 open three to seven days in amber, 2 open eight days or more in rose_

### Missed assignments need an owner

A guard doesn’t arrive or a repair misses its scheduled window. Someone needs to arrange a replacement or reschedule the work, confirm the change, then keep the site manager informed.

_Illustration: Skedulo current job card: Job #4821 at 123 Birch St, its window today 2:00 - 3:30 PM, flagged 26 min over in amber, with Gloria Benitez named as the officer on it_

### Supervisors can’t see which site needs help

Unstaffed posts, overdue maintenance, and unresolved inspection findings sit in separate reports. Supervisors need those updates together to decide where to send support first.

_Illustration: Analytics tile: 98% of the week's 100 required shifts covered, up 2 points, with Tuesday drawn hour by hour from 6am to 6am - the staff needed as a dashed curve over the staff rostered as blue steps, the shortfall shaded amber - one short in the afternoon until its open shift fills_

_How it runs_

## The site-service workflow.

_[ 01 ]_

### Service scope & frequency

Identify guard posts, patrols, cleaning tasks, maintenance, and inspections. Set the required staffing, frequency, and timing for each service.

_Illustration: Skedulo coverage plan for Dockside Precinct, Sat 8 to Fri 14 Mar 2026: rows for Security Officer, Cleaner and Technician against the seven days, each cell rostered over required - green where the day is met, amber where it is short - under the chips Cover 1 per post, Minimum 2 per role, Hours 6am - 10pm and Open day +1 officer, over Required 58, Rostered 54, To fill 4 and cost $64,020 of $68,000. The open day lands and Saturday's officer cell goes short at 2/3; one allocation fills Sunday's technician gap_

_[ 02 ]_

### Qualifications & site access

Match each assignment to available people with the required skills, credentials, and clearances. Account for site access and the scheduled work window.

_Illustration: Skedulo Tempo comparing cover for JOB-4841 at 1:28 PM. Gloria's option turns Recommended_

_[ 03 ]_

### Post orders & instructions

Give workers the post orders, task instructions, access details, and checklists their assignment requires, along with who to contact if a problem arises.

_Illustration: Skedulo web messaging card for the #north-region channel on a pale blue ground. Gloria Benitez asks at 2:05 PM: How do I get into the site? Leaving for Birch St now. Her message carries a link to JOB-4821, Water changeover service, which opens into its details: account Pioneer Health Systems, site 123 Birch St, window 2:40 - 4:10 PM, officer Gloria Benitez, status Dispatched. Dana Pruitt answers at 2:08 PM: use the loading dock gate on Birch St, the code is 4417, and Helen will meet you at the dock._

_[ 04 ]_

### Attendance & service records

Record attendance, completed tasks, and relevant findings on mobile. Add photos, incident details, or signatures where the work requires them.

_Illustration: Skedulo mobile on an iPhone, open on the #north-region channel at 3:48 PM: Gloria Benitez's message tells @Mark Doherty that unit 2 is back in service and lands with a photo from the job - the red-handled shut-off valve and pressure gauge on the unit's pipework - and the signed commissioning-sheet.pdf (1.2 MB) under it, then Mark's thumbs-up reaction lands on the message as a quick acknowledgement instead of a reply_

_[ 05 ]_

### Replacements & corrective work

Find an eligible replacement for an absence, assign urgent repairs, or schedule corrective work from an inspection finding. Notify the affected workers and site contacts.

Checked against the Security Services Award 2020 and Dockside policy v3; the foot turns green: 2 approved, Gloria and Carol notified_

_[ 06 ]_

### Site & client reporting

Use attendance, task results, and follow-up records to report on service delivery. Show site managers and clients what was completed and what remains outstanding.

_Illustration: The Skedulo web app on the Job activity dashboard. Export opens a menu - Download CSV, Download PDF, Schedule email report - and Schedule email report is picked: a dialog over the dimmed app with Format PDF, Send weekly on Monday at 7:00 AM, and Dana Pruitt and Wade Brennan added to To. Save is pressed and a green notice confirms the weekly report is scheduled: Mondays, 7:00 AM, to Dana and Wade_

## Frequently Asked Questions

### What is mobile workforce management for facility teams?

It is software that schedules the people who work across buildings and sites, gives them instructions on a phone, and records what they did. For facility teams that means guard posts, cleaning shifts, maintenance jobs and inspections, each matched to site access and required credentials. Supervisors see coverage and open work across sites in one view.

### Can Skedulo handle site shifts and mobile facilities work in one schedule?

Yes. Skedulo schedules recurring guard and cleaning shifts alongside mobile maintenance and inspection jobs, and supervisors see both together. That helps when an urgent repair or a callout competes with planned coverage.

### Can Skedulo match assignments to licenses, clearances and site requirements?

Yes. Assignments can require recorded skills, credentials and clearances, and offers go to workers who meet them, with availability and the site's access window in view. Your configuration sets the eligibility rules.

### How does Skedulo help when a guard or cleaner does not show up?

First confirm whether the worker is absent or the check-in is missing. Supervisors can review suitable replacements and use Tempo to help prepare the reassignment and updates, with available actions determined by your setup.

### What does ECL Group use Skedulo for?

ECL Group, a critical services company with 650+ employees, completes around 23,000 inspections a year and uses Skedulo to schedule, allocate and monitor them across its technicians and subcontractors. Its six business units had been on separate systems, and adding Skedulo to Salesforce brought them onto one.

### Can one platform coordinate several site services?

Yes. Plan guard and cleaning shifts alongside maintenance and inspection visits while keeping each role's requirements distinct. Our Pulse Platform lets you extend the site records and workflows; assess specialist needs such as guard-tour hardware during evaluation.

## Let's look at the sites you manage.
