_Tempo_

## Tempo, alongside training coordinators.

Ask Tempo about the training calendar, review session requirements and prepare staffing changes. Available records, actions and approval steps depend on your setup.

[Meet Tempo](https://www.skedulo.com/product/tempo/)

_Illustration: Skedulo Tempo covering an instructor's sick call from its issue: Carol Ng calls in sick for today's motor controls lab at Campus East, leaving Cohort 12's 16 electrical apprentices without an instructor. The issue lands in red on a blank screen and becomes the task's header; Tempo reads the sick call, the instructors and the lab's booking, and the context panel opens on who is off and the uncovered lab. Tempo picks Declan Moore, a licensed electrician signed off for the module; once the scheduler starts the plan it records the sick leave, offers Declan the lab and tells the cohort._

_Why this is hard_

## Training depends on more than an available instructor.

The right instructor, available learners, and a suitable space all need to come together. When one changes, coordinators have to rebuild the plan and keep everyone informed.

### One time has to work for everyone

An instructor may be available when the learners aren't, or a room may lack the required equipment. A confirmed session needs all three to line up.

_Illustration: Skedulo shift scheduling matching card for an open first aid instructor slot, Tue 4, 2pm - 10pm in Room 4 at Campus East: three trainers checked for Available, Skills, Accreditation and the trainers' agreement - Doug Lindqvist, the Program Lead, misses on skills because the session needs a first aid instructor; Bridget Hanley breaks the agreement's 10h rest after her Mon 3 night - and Carol Ng, an Instructor who passes all four, rises to the top, is allocated and notified._

### Requirements narrow the options

Different courses and assessments require different expertise or qualifications. When someone becomes unavailable, coordinators need a replacement who meets the requirements and can reach the session location.

_Illustration: Skedulo scheduling objectives for the training calendar, ranked: service level first - keep every promised window - then travel time, the shortest drive between jobs, then resource use, filling each trainer's day before adding one. Below them the rules that narrow who can take a session: licensed for the job type and within 25 miles of home base, with overtime to close a gap left off._

### Results sit in separate places

Attendance sheets, assessment results, and instructor notes sit in separate files. Coordinators have to bring them together to see which requirements each learner has completed.

_Illustration: Skedulo forms analytics tile: 95% of expected forms completed this week, 407 of 428, up 3 points, with a bar for each weekday of expected against completed._

### Canceled sessions need a new date

When a session is canceled, learners still need another suitable date. Coordinators must arrange the instructor and resources again, account for any deadlines, and notify everyone affected.

_Illustration: Skedulo shift analytics tile: 92% of open shifts filled, 22 of 24, up 6 points, with a median of 1h 40m to fill and how they were filled - 14 targeted, 8 broadcast, 2 still open._

### Bookings and results sit apart

A booking shows who is scheduled, not who attended or completed an assessment. Coordinators need session status and recorded results together to identify the next step for each learner.

_Illustration: Skedulo shift analytics tile: 94% of shifts started on time, 97 of 98 started, up 1 point, as a grid of every shift marked on time, late or absent._

_How it runs_

## Session planning, delivery and results.

_[ 01 ]_

### Courses & assessments

Identify the courses or assessments required, the learners involved, and any delivery deadlines or prerequisites.

_Illustration: Skedulo demand drivers for Campus East, Sat 8 - Fri 14 Mar 2026: learners enrolled, 112 a week from the learning system; certifications due, 64 a week from the compliance feed; and Sat 8's public course day at 1.2 times the trainers - translated through one trainer per 12 learners, a minimum of two on practicals and teaching hours 6am - 10pm into a trainer forecast for the week: 20 required, 19 planned, 1 to fill, $64,020 of $68,000 within the approved cap._

_[ 02 ]_

### People, rooms & equipment

Plan around instructor or assessor qualifications, learner availability, travel, and room or equipment requirements.

_Illustration: Skedulo Tempo asked when the forklift cohort can do its refresher: it answers Thursday from 1:00 PM to 5:00 PM, when Gloria Benitez, Lab 2 and all 12 learners are free, over a strip of Lab 2's Thursday with the morning booked and the afternoon open._

_[ 03 ]_

### Session communications

Share the time, location, preparation instructions, and relevant contacts with instructors, assessors, learners, and site coordinators.

_Illustration: Skedulo shift scheduling, publish complete: 56 shifts published and everyone on the roster notified, with the notices that went with them - two unassigned morning shifts on Sat 1 still open, Mon 3's double-booking resolved before publish, and cover confirmed for Fri 7 while Gloria Benitez is on leave._

_[ 04 ]_

### Attendance & assessment records

Instructors and assessors can record attendance, assessment results, and supporting evidence on mobile, including issues that need follow-up.

_Illustration: Skedulo mobile app on an iPhone at 5:16 PM: JOB-4803, the working at heights assessment for BuildRight Group Training, in progress - work started 4:09pm, 1h 11m on site since 4:05pm - with its evidence attached, the permit at 4:14pm and the practical at 4:15pm, the outcome Competent with one failed check on rescue kit AST-1152, and the assessment submitted at 5:16pm._

_[ 05 ]_

### Replacements & rebooking

Find a suitable replacement for an absent instructor, or arrange another session for affected learners. Check the revised timing and resources, then notify the people involved.

_Illustration: Skedulo change requests for Campus East, 1 - 7 Mar, each checked against the trainers' agreement: Doug Lindqvist's move from Mon 3's morning to the afternoon warns at 38h with $46 of overtime, so it goes for approval; Gloria Benitez's swap with Carol Ng on Tue 4 and Carol's cover on Wed 5 pass and are approved - two approved, Gloria and Carol notified._

_[ 06 ]_

### Learning-system integration

Send attendance and assessment results to connected learning or workforce systems through configured integrations. Use recorded requirements and results to identify outstanding follow-up.

_Illustration: Skedulo integrations activity for JOB-4803, completed Wed 13 Aug at 5:21 PM: work order 00012345 sent to Salesforce as Completed with the outcome Competent and follow-up JOB-4871, the completed work sent to Finance, and the approved hours - Gloria Benitez, 1h 47m - to Workday on schedule at 6:00 PM, each synced: 3 of 3 delivered._

_Value_

## A training calendar that accounts for the resources.

Review instructor qualifications, learner availability and room or equipment capacity together. When a session changes, those requirements also inform the alternatives.

- **Session capacity** — Plan around the number of learners, qualified instructors, and available room or equipment capacity.
- **Locations & travel** — Plan sessions and site assessments around location, travel time, and instructor or assessor availability.
- **Instructor replacements** — Review qualified alternatives and available resources, then notify learners and site contacts of any changes.

## Frequently Asked Questions

### What is instructor-led training scheduling?

Instructor-led training scheduling matches qualified instructors, learners, rooms or sites and equipment to each session, then keeps everyone informed as plans change. It also tracks attendance and results so coordinators know which learners still need a session or assessment. It gets harder when instructors travel to many sites or when sessions depend on certifications that expire.

### Can Skedulo match instructors or assessors by qualification?

Yes. Scheduling uses recorded qualifications, availability, and location to match instructors or assessors to sessions. Your organization maintains those records and decides eligibility. When plans change, Tempo can help prepare replacement options using the available information.

### Can programs coordinate learners, sites, rooms, and equipment?

Yes. Session planning accounts for learner numbers and availability, locations, and room or equipment requirements, using the resource data and rules configured for your program. Nearby sessions and site assessments can be grouped by location and travel time.

### Can assessors record results and flag follow-up on mobile?

Yes. Instructors and assessors record attendance, assessment results, supporting evidence and sign-off in mobile forms. Outstanding work is flagged for follow-up, so coordinators see which learners are complete and which need another session.

### How is Skedulo different from a training management system?

Skedulo focuses on coordinating the people and resources that deliver training, including travel and mobile attendance or assessment records. Our Pulse Platform lets you build additional workflows. Scope course registration, payments, and learning-content requirements separately when evaluating your systems.

### Can Skedulo connect with LMS, HRIS, CRM, and certification systems?

Yes. Scope integrations with your learning, workforce, customer, and certification systems around the records you need to exchange. The available connector or API, record ownership, and update timing determine how each connection is implemented.
