_Team conversations_

## A shared channel for every team.

Use a channel for your region, service team or on-call group. Colleagues can catch up on the discussion and see what's been agreed, even if they weren't part of the original exchange.

### Shift cover

Discuss cover for an absence in the team channel. Once cover is agreed, make the change in the schedule.

### Regional updates

Use a regional channel for site changes, local conditions and questions shared by teams working in the same area.

### Service coordination

Discuss customer requests with the colleagues involved, in a conversation the team can refer back to.

_Conversations and controls_

## Messaging controls for your organization.

Use direct and group messages, or create public and private channels. Administrators control channel creation, membership settings and message editing.

### Direct messages

Start a private conversation with a colleague.

_Illustration: Skedulo web messaging card, New message: Glo is typed into To and Gloria Benitez, Senior Technician, comes up as the match; she is picked and lands in To as a chip, the conversation opens on This is the beginning of your direct message history with @Gloria Benitez, and Mark Doherty's first line is typed and sent at 9:07 AM: Can you make 2:40 if I push the window?_

### Group messages

Message a small group without creating a channel.

_Illustration: Skedulo web messaging card for a group message titled Mark Doherty, Gloria Benitez, Odette Ferreira beside their three photos: Mark asks Gloria, Odette - all set for Pioneer Health at 2:40?, Odette answers Yes. Helen will meet Gloria at the dock., and Gloria replies Thanks - I'll message when I'm 15 minutes out._

### Public and private channels

Create public channels people can find and join, or private channels for invited members.

_Illustration: Skedulo web messaging card, Browse channels: denver-metro, north-region and south-region marked # with their member counts, north-region already joined, and hvac-escalations marked with a lock, private, 4 members, invite only; the blue Join on denver-metro is pressed, it becomes Joined with a green tick and its members go from 34 to 35_

### Archive and restore

Archive a channel when it is no longer needed. Permissions determine who can archive it or restore it later.

_Illustration: Skedulo web messaging card with the settings of the heatwave channel: Archive is pressed, the status changes from Active to Archived, the row becomes Restore channel with a blue Restore button and a line reads Archived today by Dana Pruitt; then Restore is pressed and the channel is active again. Below, who can archive: managers and administrators; who can restore: administrators_

### Messaging settings

Control who can create channels and add members, and whether people can edit or delete their own messages.

_Illustration: Skedulo web messaging card, Messaging settings: Create channels set to Managers, Add members set to Everyone, Edit own messages and Delete own messages as switches; the Edit own messages switch slides on and a green Saved appears in the corner, Delete own messages stays off_

_Photos and files_

## Share what you're seeing on site.

Send a photo of an equipment fault or access problem so a colleague can see what you're dealing with. Add the documents or instructions needed to resolve it.

### Photos from the job

Share images of access problems, equipment damage, completed work or site conditions.

### Documents and instructions

Share PDFs, spreadsheets, job aids and instructions in the conversation.

### Mentions

Mention a colleague when a question or update needs their attention.

### Reactions

React when you want to acknowledge an update without writing a reply.

_Illustration: Skedulo mobile on an iPhone, open on the #north-region channel at 3:48 PM: Gloria Benitez's message tells @Mark Doherty that unit 2 is back in service and lands with a photo from the job - the red-handled shut-off valve and pressure gauge on the unit's pipework - and the signed commissioning-sheet.pdf (1.2 MB) under it, then Mark's thumbs-up reaction lands on the message as a quick acknowledgement instead of a reply_

_Comms for work_

## Conversations with job context.

Share a job link when you need advice about a repair, a site or a change of plan. Colleagues can check the record before replying.

The link opens the job's customer, location, timing, assigned worker and status for colleagues who have permission to view it.

- **Site access** — Before setting out, a worker sends the appointment link and asks how to get into the site.
- **Job details** — Customer, location, timing and assignment details help office colleagues answer questions about a visit.
- **Conversation history** — The discussion and shared job link remain available to its participants.

_Illustration: Skedulo web messaging card for the #north-region channel on a pale blue ground. Gloria Benitez asks at 2:05 PM: How do I get into the site? Leaving for Birch St now. Her message carries a link to JOB-4821, Water changeover service, Wed 13 Aug, 2:40 PM. The link opens into the job's details: account Pioneer Health Systems, address 123 Birch St, window 2:40 - 4:10 PM, technician Gloria Benitez, status Dispatched. Dana Pruitt answers at 2:08 PM: use the loading dock gate on Birch St, the code is 4417, and Helen will meet you at the dock._

_Messaging in the web app_

## Keep dispatch conversations in Skedulo.

Discuss a reassignment, check site access or ask for cover from the web app. Field colleagues can reply from Skedulo Mobile while connected.

### Team channels

Create a channel for a dispatch team, region or service line, with public or private membership.

### Direct and group messages

Discuss a specific assignment with a colleague or a small group without starting a new channel.

_Illustration: The Skedulo web app open on Messaging, the north-region channel beside the sidebar. The plus beside Direct messages opens New message: a people picker drops under the To field listing five colleagues with their roles, Gloria Benitez and Odette Ferreira are ticked, each landing in To as a name chip, the count going to 2 of 8, and the composer reads Message Gloria Benitez and Odette Ferreira_

### Mentions

Address a question to a particular colleague within the team conversation.

_Illustration: The Skedulo web app open on Messaging, the north-region channel on the morning's delay. In the composer Mark types Can you sign off on #4821 at 4:10? and then @W, and the two channel members it matches pop over the composer - Wen Zhao, Technician, and Wade Brennan, Field Supervisor, the W of each name in bold - and the highlight moves from Wen Zhao to Wade Brennan_

### Channel search

Search by channel name to find an existing conversation.

_Illustration: The Skedulo web app open on Messaging. The Find a channel search in the sidebar opens Discover channels over the dimmed app, listing channels with their member counts; region is typed and the list turns to central-region, north-region, the private region-leads with a lock, and south-region. Join on central-region becomes a green Joined, its members going from 16 to 17_

_Broadcasts_

## Broadcasts across teams and locations.

Send an announcement beyond a single team channel. Use broadcasts for site closures, weather warnings or changes that affect people across locations.

Include the instructions people need, such as where to report or whether an appointment is still going ahead.

## ServiceMaster Clean's experience with Skedulo.

- **Before**
  - Data between the field app and Salesforce broke often, leaving gaps in service histories.
- **With Skedulo**
  - Schedule changes and work order updates reach the mobile device reliably.
- **Outcome**
  - No more trust gap between a schedule change and what reaches the mobile device.

> With Skedulo, you no longer have that trust gap with the information. So if you are going to change a schedule on the fly, or update a work order, you know it's going to the mobile device. It saves a lot of time.
>
> — David Benoit, Owner and President at ServiceMaster Clean

- **1,000+** — appointments scheduled every month, up from fewer than 10 employees to 80

## Frequently Asked Questions

### What is workforce messaging software?

Skedulo Messaging provides direct messages, group conversations, channels and broadcasts within the Skedulo web and mobile apps. Office and frontline teams can discuss work and share job links without moving the conversation to a separate chat app.

### How is Messaging different from a separate chat app?

It is available in the Skedulo web and mobile apps alongside schedules and jobs. Colleagues can share a job link in a conversation, while administrators control channel creation, membership settings and changes to messages.

### How can dispatch discuss a change with the field team?

Dispatch can discuss the change with affected workers and share the relevant job link. The agreed change is then made in scheduling.

### Can frontline workers use Messaging on mobile?

Yes, when Messaging is enabled for your organization and the worker has the required permissions. In Skedulo Mobile, they can use messages and channels, share attachments, mention colleagues and react while connected.

### Does Messaging support public and private channels?

Yes. Public channels can be found and joined; private channels are for invited members. Administrators configure channel creation and membership permissions.

### Can we discuss a particular job?

Yes. Include the job or appointment link with your question so colleagues with access can check the details before replying.

### Can we send an update across locations?

Yes. Use a broadcast for an announcement across teams or locations, with instructions for the people affected.

### Does Messaging work offline?

Messaging needs a connection to send or receive messages and open attachments. Offline support for other Mobile functions does not extend to these messaging actions.
