_One Asset Operation_

## Coordinate asset service, equipment bookings, and installations.

Plan work on installed assets, schedule the equipment teams need, and coordinate new installations. Keep the relevant asset details with each assignment.

### Maintenance & repairs

Schedule inspections, preventive maintenance, and repairs with the asset’s location, service history, and work requirements attached.

_Illustration: A Skedulo mobile card, Inspected assets, with one row per asset recorded on the visit: AST-1163 on the ground floor riser, not applicable; AST-1152 in the level 3 plant space, failed in solid rose; AST-1147 in the same plant space, passed in green - the failed asset standing out at a glance._

### People & equipment bookings

Schedule vehicles, tools, rooms, or devices alongside the people who need them, using the resource availability recorded in Skedulo.

_Illustration: Skedulo job panel for an inverter replacement on unit 2, Wed 13 Aug, 2:00 - 3:30 PM, the technician en route, open on Asset detail: the E-Transit cab chassis, plate 523 NL7, allocated to the job, with a photo of the vehicle, its current location, four seats, fleet ID RAW1259 and its next service due 3 Feb - a vehicle booked as a resource alongside the people._

### Installation & commissioning

Coordinate crews, equipment, and site access. Give teams the instructions and forms to record installation work, test results, and handover details.

_Illustration: Skedulo mobile app on an iPhone on a hatched ground, cut off at its foot: the progress of JOB-4803 from request to result - requested as work order 00012345, dispatched to Gloria Benitez, on site at 4:05 PM, isolator AST-1152 failed with follow-up JOB-4871 for Aaron Feldman, the site checklist signed off. Complete job is pressed and the rest lands in turn: complete at 5:21 PM, the work order completed, sent to Finance for invoicing at 5:22 PM, the handover to Aaron Feldman at 5:24 PM._

_Tempo_

## Work through the maintenance queue with Tempo.

Review maintenance requests, ask about previous work and coordinate follow-up with Tempo. It uses the available asset and job records; actions and approval steps depend on your setup.

### Overdue maintenance

A service visit is overdue. Review what the asset needs and who can take the job with Tempo.

_Illustration: Skedulo Tempo at the start of a dispatcher's day: Tempo greets Mark Doherty at 7:30 AM and writes his Morning brief beside the Issues inbox - 41 jobs today, 11 technicians on, 94% covered; overnight it moved a job to Thursday, synced Gloria Benitez's Friday leave from Workday and sent 23 arrival windows; first, a skill gap on JOB-4866 in Aurora, two offers unanswered and rain from 3:00 PM. Mark opens the skill gap, and Tempo has a plan ready: Aaron Feldman, who holds the certificate, takes the job with Andre Bassett riding along_

### Repeated fault

Review previous repairs before arranging another visit for the same fault. Tempo can help gather the available work records.

_Illustration: Skedulo Tempo working an urgent job from its issue: Harvest Table's walk-in cooler is at 41 degrees and rising, and JOB-4861 needs someone who handles refrigerant on site by 3:20 PM. The issue lands in red and becomes the task's header; Tempo reads the job and the qualified technicians' afternoons. The panel opens on the cooler's readings; only Brooke Feeney, on call 8 minutes away, can make it if her routine filter change moves. Once the dispatcher starts the plan, Tempo moves it to Friday, sends Brooke and texts both customers_

### Failed inspection

Review the open finding and prepare follow-up with the responsible team. Tempo can help coordinate the next steps.

_Illustration: Skedulo Tempo following up from its issue: Hector Salinas hasn't answered the offer for JOB-4855, a Thursday early start. The issue becomes the task's header; Tempo reads the open offers and today's timing, and the context panel opens on what is still waiting - two Thursday offers, Hoa Pham double-booked around JOB-4858, four jobs to allocate next week. Once the dispatcher starts the plan, Tempo texts Hector, who accepts, offers JOB-4857 to Curtis Mensah, who accepts, and moves JOB-4863 to clear Hoa's overlap_

### Missing asset history

The technician needs more asset history. Use Tempo to help review the available records and prepare a request for the missing details.

_Illustration: Skedulo Tempo working a call-out beside the dispatcher: Doug Lindqvist is unavailable from 1:30 PM and JOB-4841, a thermostat and damper check, has no one on it. Tempo reads the absence, the job and who can cover, asks whether Dana Whitfield can take a later arrival, and puts forward reassigning JOB-4841 to Gloria Benitez, HVAC certified and 0.8 mi away, arriving 3:45 - 4:15 PM, its Context panel holding the absence, the job and the plan. Once accepted it checks her route, reassigns the job, texts Dana and closes with a session summary_

_How it runs_

## The maintenance workflow.

_[ 01 ]_

### Maintenance requests

Start with a maintenance plan, inspection finding, customer request, or alert from a connected asset system.

_Illustration: Skedulo card for the Salesforce integration: the Salesforce logo, Connected, 4 data flows. Work order 00012345, a quarterly site inspection, comes in from Salesforce in real time and becomes JOB-4803 in Skedulo, pending allocation: 1 synced in 0.8 seconds, Mon 11 Aug._

_[ 02 ]_

### Priority & service commitments

Review recorded condition, asset importance, service commitments, and the impact of delaying the work.

_Illustration: Skedulo scheduling objectives card, marked Active: three objectives in rank order - service level, keep every promised window; travel time, the shortest drive between jobs; resource use, fill each technician's day before adding one - and the rules a match must pass, licensed for the job type and within 25 miles of home base checked, overtime to close a gap left off._

_[ 03 ]_

### Scope & requirements

Set the scope, expected duration, skills, equipment, and parts requirements. Include site-access details, procedures, and the records teams must capture.

_Illustration: Skedulo Form Builder, Settings tab, for the Site checklist: Form type with Job form chosen over Global form; Job types as chips, Inspection with Fire safety audit added; Resource categories as chips, Inspector with Senior Technician added, so only resources in these categories see it. _[ 04 ]_

### People & equipment allocation

Match the work to available people with the required skills and credentials. Account for travel, access windows, and the vehicles or equipment needed.

_Illustration: Skedulo best-match card for JOB-4821: Gloria Benitez first with a 96 match on a pale green row, ten minutes and 1.9 miles from her last job; Doug Lindqvist at 81, crossing territory; Bridget Hanley at 64, her shift ending at 3:30 PM - the reason under each name._

_[ 05 ]_

### Service & inspection records

Give teams the asset history and instructions before they start. Record work performed, condition readings, parts used, and any unresolved issues against the job.

_Illustration: A Skedulo mobile inspection card scoring a vehicle item by item: windscreen and mirrors, pass; tyres and wheels, fail in rose; brakes and steering, pass. A notice logs the defect - the workshop has been notified and the vehicle stays available for metro routes only._

_[ 06 ]_

### Review & corrective work

Assign follow-up for unresolved issues, review the job record, and send results to the systems that need them through configured integrations.

_Illustration: A Skedulo workflow canvas for Failed check follow-up, in draft, built a step at a time: Site checklist submitted, then the rule Any check failed. On Then, Request approval from Wade Brennan and Create follow-up, Replace isolator; on Else, Complete the job and Update work order, its tile the Salesforce logo. Each card lands with the line into it._

_Asset History_

## Every service visit adds to the asset history.

Previous repairs, condition readings and unresolved faults help planners scope the next job. Bring that history together with available manuals, attachments and warranty details when preparing the assignment.

_Illustration: Skedulo mobile job detail on an iPhone, opening on a map of the site, a pin on 1160 Pioneer Way, Denver: a quarterly site inspection in progress, the site owner's contact, site information with access and hazards, and the work history - two audits passed, a fire door raised in May still open. Record finding slides in the finding page with its severity and the follow-up job it raises for Aaron Feldman, due Friday; saved, the follow-up job sits under the history and the open issue is resolved in green._

_Readiness & Scheduling_

## The technician and the equipment, booked together.

Plan around skills, availability, travel, and site-access windows. Include the required crew members and equipment, and check for missing information before confirming the assignment.

- **Assignment requirements** — Review asset information, expected duration, skills, equipment requirements, and site access before assigning the job.
- **Missing prerequisites** — Flag missing parts, credentials, or asset details so the coordinator can arrange what is needed or revise the assignment.

Log site entry turns green - entry logged at 4:05 PM._

_Completion_

## Service records that include the findings.

**Condition readings, work performed and unresolved faults belong with the asset record. Use those findings to scope corrective work and future service visits.**

### Condition readings

Log condition observations, readings, and parts used as part of the job.

### Photos & signatures

Attach photos, annotations, and any required signatures to the work record.

### Service details

Record completed procedures and unresolved issues against the asset.

### Corrective work

Use findings to define corrective work or a recommended service visit, with an owner and required timing.

_Illustration: Skedulo mobile job completion page on an iPhone at 1:1, cut off by the square: for a quarterly site inspection, JOB-4803, the work completed typed in, two materials in the list - a heavy duty door closer and a lockout tag and padlock - the follow-up job the inspection raised, JOB-4871 for Aaron Feldman, and the site owner's signature from Helen Pryor._

_Systems_

## Connect field work with your existing asset systems.

Bring work requests and asset data into Skedulo through integrations and APIs. Send job status, results, and follow-up details back to connected systems according to the integration you configure.

- **EAM and CMMS** — Share condition observations, service history, and recommended follow-up work.
- **CRM and customer service** — Share job outcomes and follow-up details with customer and service-case records.
- **ERP, finance, and inventory** — Share completed-work and parts-usage details for billing, financial review, and inventory records.

## Frequently Asked Questions

### What is field service asset management?

Field service asset management is scheduling and completing work on installed assets, such as inspections, preventive maintenance, repairs and installations, with each asset's location, history and requirements attached. Workers record condition readings, parts used and follow-up against the asset. It works alongside an EAM or CMMS, which holds the asset register.

### Is Skedulo an EAM or CMMS?

Keep your asset register in your EAM or CMMS while Skedulo schedules crews, supports field work, and records the results. Your integrations determine what is exchanged and when.

### How do field technicians use asset history on the job?

Before arriving, technicians see the asset's identity, location, service history, procedures, hazards and access requirements on mobile. On site, they record readings, parts used, photos and unresolved issues against the asset. For multi-asset inspections or nested equipment records, mobile extensions go beyond a standard form.

### Can Skedulo schedule vehicles or equipment with people?

Yes. People can be scheduled alongside resources such as vehicles, tools, rooms, or devices. The resource types, availability, and assignment rules are configured around your operation.

### Can maintenance be recurring or condition-triggered?

Yes. Work can be created from recurring schedules or configured workflows using events from connected systems. Condition-based workflows depend on the asset data, integrations, and rules you set up.

### Can a failed inspection create repair work?

Yes. A configured workflow can use an inspection result to create follow-up or corrective work with an owner, priority, and schedule. Include review or approval steps where your process requires them.
