_Who it's for_

## Inspection programs, from the schedule to the corrective work.

Inspection results support review by the quality and safety manager, coordinator and inspector. The shared record connects assignments and evidence with the corrective work that follows.

_One Inspection Operation_

## Recurring inspections, incident checks and daily routines.

Some inspections follow a program; others follow a fault or form part of a shift. Plan each with its required qualifications, form and timing.

### Recurring inspections

Build regulatory, safety, quality, property, and preventive inspection programs with the right cadence, form, qualification, and owner.

_Illustration: Skedulo Form Builder, Settings tab, for the Site checklist: Form type with Job form chosen over Global form; Job types as chips, Inspection with Fire safety audit added; Resource categories as chips, Inspector with Senior Technician added, so only inspectors in these categories see it. At the foot: Gloria Benitez, a Senior Technician, sees it on JOB-4803._

### Triggered inspections

Create inspection work from an alert, incident, failed reading or service request through a configured workflow.

_Illustration: A Skedulo mobile readings card: the fridge compartment at 4.1 C, in range, and the data logger's 24-hour maximum at 9.2 C marked High in rose against its 2 - 8 C range, with the rule it trips - a reading outside range must record what was found and what was done, the stock quarantined until cleared._

### Checks within jobs and shifts

Add commissioning, safety, quality, and closeout checks to jobs, visits, installations, or shifts, with results and evidence linked to each record.

_Illustration: Skedulo mobile pre-start safety form card: under Hazards present, Unprotected roof edge is ticked and tagged CRITICAL while Overhead power lines stays clear; a dashed section opens with the required controls - harness on a rated anchor and an exclusion zone below the edge - each ticked in turn, and the amber note to confirm both turns green: confirmed, work can start._

_Tempo_

## Review the inspection queue with Tempo.

Use Tempo to help review upcoming inspections, open findings, and the next assignments. Available actions and approval steps depend on your setup.

[Meet Tempo](https://www.skedulo.com/product/tempo/)

### Inspection failed

Review the finding with the responsible team and prepare the corrective work required.

_Illustration: Skedulo Tempo working an urgent job from its issue: Harvest Table's walk-in cooler is at 41 degrees and rising, and JOB-4861 needs someone who handles refrigerant on site by 3:20 PM. The issue lands in red and becomes the task's header; Tempo reads the job and the qualified technicians' afternoons. The panel opens on the cooler's readings; only Brooke Feeney, on call 8 minutes away, can make it if her routine filter change moves. Once the dispatcher starts the plan, Tempo moves it to Friday, sends Brooke and texts both customers_

### Result incomplete

Compare the submitted record with the configured completion requirements.

_Illustration: Skedulo Tempo following up from its issue: Hector Salinas hasn't answered the offer for JOB-4855, a Thursday early start. The issue becomes the task's header; Tempo reads the open offers and today's timing, and the context panel opens on what is still waiting - two Thursday offers, Hoa Pham double-booked around JOB-4858, four jobs to allocate next week. Once the dispatcher starts the plan, Tempo texts Hector, who accepts, offers JOB-4857 to Curtis Mensah, who accepts, and moves JOB-4863 to clear Hoa's overlap_

### Inspection overdue

Review the overdue inspection and prepare an assignment based on its requirements and worker availability.

_Illustration: Skedulo Tempo at the start of a dispatcher's day: Tempo greets Mark Doherty at 7:30 AM and writes his Morning brief beside the Issues inbox - 41 jobs today, 11 technicians on, 94% covered; overnight it moved a job to Thursday, synced Gloria Benitez's Friday leave from Workday and sent 23 arrival windows; first, a skill gap on JOB-4866 in Aurora, two offers unanswered and rain from 3:00 PM. Mark opens the skill gap, and Tempo has a plan ready: Aaron Feldman, who holds the certificate, takes the job with Andre Bassett riding along_

_No qualified inspector_

### No qualified inspector available

No available inspector has the required qualification. Raise the gap with the person responsible for the program.

_Illustration: Skedulo Tempo working an expiring certificate from its issue: a new issue arrives - Gloria Benitez's Advanced Life Support certificate expires Fri 28 Mar - and becomes the task's header. Tempo gathers context; then the panel opens with her credential - its days left, holder and how to reach her - and the four nights in charge it would cost her. Once the scheduler starts its plan, Tempo reminds her to renew by app message and email and watches two weeks for her new certificate, ready to alert the scheduler and remind her again_

_How it runs_

## The inspection lifecycle.

_[ 01 ]_

### Programs & requests

Create recurring demand or respond to a condition, request, reading, or incident.

_Illustration: Skedulo workflow trigger panel on a green wash: of four ways to start - Record change, Time offset, Recurring schedule, Platform event - Record change is picked, the record set to Form response and the event to Created, with a filter, Only when Form is Site checklist; the trigger's title becomes Site checklist submitted._

_[ 02 ]_

### Inspector requirements

Review recorded qualifications, site access, location, and availability against the inspection requirements.

_Illustration: A deck of three Skedulo worker records, one shown at a time and each lifted away to reveal the next: Brooke Feeney, on call, open on Exceptions, where her expired working-at-heights ticket is shown with the two jobs this week that need it and a Reassign action; Carol Ng open on Availability, a week of capacity bars with Friday on leave; and Curtis Mensah open on Skills & Attributes, his skill tags and three qualifications with their standing._

_[ 03 ]_

### Assignment & preparation

Assign a suitable inspector with the required form, site details, asset history and safety information available on Mobile.

_Illustration: Skedulo mobile app on an iPhone, cut off at its lower third, open at 4:09 on the inspector's job: Quarterly site inspection, JOB-4803, Pioneer Health Systems - a map of the site at 1160 Pioneer Way, Denver, In progress, Wed 13 Aug, 4:00 - 6:00pm. Under Forms, matched to this job's type and your team, two forms land: Site checklist, tagged Required, for Inspection jobs and required before completion; then Toolbox talk record, for all Inspectors, optional._

_[ 04 ]_

### Inspection & evidence

Guide the worker through required questions, readings, photos, signatures, annotations, and conditional steps, online or offline where supported.

_Illustration: Skedulo mobile inspection form card: Enclosure intact and Labels legible marked Pass, then Isolator latches off marked Fail, and a dashed section opens under it - the Issue field, typed in as Isolator will not latch off, and a Fault photo field that takes its requirement: its empty tile turns rose and reads Required to submit._

_[ 05 ]_

### Results review

Apply configured form checks and route the result for review where the process requires it.

_Illustration: A Skedulo mobile form field enforcing its rule on a green wash: a rose Asset failed notice - describe the fault and attach a photo so it can be quoted without a return visit - over the Fault photo field, no photo added yet, at least one photo showing the fault required before the form submits._

_[ 06 ]_

### Corrective work & closure

Assign corrective work where needed, retain the inspection record, and share results through configured reporting or integrations.

_Illustration: Skedulo workflow canvas, close on one IF, THEN, ELSE: Repair approved, its rule Decision is Approved, is checked green as a test run passes it. The run takes Then, drawing the edge in blue to Create a follow-up job, Name Replace isolator, Duration 2 hours, which runs and is checked, then on into End, which fills green. The Else edge to Tell the dispatcher goes quiet and that card fades._

_Inspector Readiness_

## The inspection scope and history, before arrival.

Inspectors can review previous findings, access instructions and the required form before the visit. Coordinators can check qualification requirements and missing site details before assigning it.

- **Scope & qualifications** — Review site information, required qualifications, and the inspection scope before scheduling.
- **Missing prerequisites** — Flag missing credentials, access details, or prior results for follow-up before dispatch.
- **Questions & evidence requirements** — Give the inspector the required questions, readings, and evidence requirements before work starts.

_Illustration: Skedulo mobile app on an iPhone: Site access, a custom page linked to JOB-4803, Pioneer Way campus and Gloria Benitez - gate code 4417, Pioneer badge on file, permit to work PTW-2026-0884, Helen Pryor meets you - and the site's notes. The permit row is tapped and its record rises in a sheet: issued by Helen Pryor, plant room level 3, expiring Fri 15 Aug, 5:00 PM. Done closes it, Log site entry turns green - entry logged at 4:05 PM - and Entered reads 4:05 PM._

_Forms_

## Build the form around the inspection.

Use conditional questions, required fields, validation, photos, readings, and signatures where needed. Configure forms for the inspection type, from property checks to equipment service and commissioning.

_Illustration: Skedulo web Form Builder on a hatched ground, the Build tab of the Site checklist job form, version 3, page 5 of 5, Sign-off: Overall outcome, the follow-up fields its rule shows - Follow-up reason, Return by and Photo of the issue - and the declaration. Below it an iPhone previews the page answered. Add component opens the twelve component kinds, Signature is picked, Site Contact signature lands with its properties and turns required, and the preview shows Helen Pryor's signature._

_Complex frontline work_

## Go one step further with mobile extensions.

Extend Mobile for inspections that need related asset records, custom logic, or connected actions beyond a standard form.

_Illustration: Skedulo mobile app on an iPhone, a site checklist page built as a multi-asset inspection: Asset and equipment inspection, one row for each asset inspected on the visit, a green note that three are recorded, and the rows - AST-1163 on the ground floor riser, not applicable; AST-1152 in the level 3 plant space, failed; AST-1147 in the same plant space, passed - with Back and Continue at the foot._

_Completion_

## Findings with the evidence attached.

**Responses, readings and photos document the inspection. Reviewers can assess a finding alongside the evidence before deciding what corrective work is required.**

### Answers & readings

Record required answers and readings, with configured checks for missing information.

### Photos & signatures

Photos, annotations, and a signature where the inspection calls for one.

### Time, location & notes

Keep recorded time, location, and notes with the inspection result.

### Open findings

Flag findings that require corrective work and record who is responsible for the next step.

_Illustration: Skedulo completion checks on JOB-4803, run when the site checklist was submitted at 5:16 PM: required steps answered 5 of 5, photos attached 2, permit recorded PTW-2026-0884 and site contact sign-off by Helen Pryor tick green; Isolator can be locked off fails on AST-1152. An exception is routed for review to Wade Brennan, Field Supervisor - approved 5:18 PM - and JOB-4871, Replace isolator, is created. The foot reads Clear to complete JOB-4803._

_Corrective action_

## A finding can become a work assignment.

A configured workflow can create corrective work from a failed response or recorded finding. Assign an owner and due date, preserve the inspection evidence and include the review or verification your process requires.

_Illustration: Skedulo mobile app on an iPhone: a finding from the Ward B shift at Southbank Clinic - Bay 3 call bell not responding, asset CB-0312, severity Medium, a photo - and Assign action is pressed. The corrective action page fills: Replace call bell unit, assigned to Maintenance, due today 6:00pm, linked to the shift and the asset. The Follow-up page shows the action open with a record of Found and Action assigned; at 5:21 it flips to Resolved, unit replaced and tested OK, and Resolved joins the record._

_Analytics_

## Inspection coverage and unresolved findings.

### Program status

Due, assigned, completed, failed, overdue, reopened, and awaiting-review inspections.

_Illustration: Analytics tile: 95% of the week's 428 expected forms completed, 407 of them, up 3 points, with a pair of slim columns per weekday spread across the tile - expected in grey, completed in blue - and Friday's last four forms landing._

### Completion and cycle time

Completion rate and the time from assignment to close, tracked by team.

_Illustration: Analytics tile: 17 minutes median from opening a form to submitting it, down 2 minutes, as two lines across the tile, Monday to Friday - site inspections in blue falling from 23 to 18 minutes, pre-starts in purple holding near 12 - the site inspection line's last point dropping from 20 to 18._

### Findings

Repeat findings by location, asset, and inspector.

_Illustration: Analytics tile: 24 failed checks this week, down 6 on last week, as a rose bar per form - site inspection 9, pre-start 7 and the other forms 8 - and one more failed pre-start check landing._

### Corrective action

Track open corrective work and how long it has been aging by severity.

_Illustration: Analytics tile: 14 corrective actions open across 6 owners, down 3 on last week, the oldest open 11 days - a donut by how long each has been open, the median 4 days in the middle - 7 opened in the last two days in green, 5 open three to seven days in amber, 2 open eight days or more in rose._

### Workload and travel

Compare assignments, travel time, and inspector utilization across sites.

_Illustration: Analytics tile: 37 minutes average travel per job, down 9%, with the week's actual travel per job as a blue line under the plan, dashed in grey, Monday to Friday - and Friday's point dropping from 38 to 35 minutes, further below plan._

## Frequently Asked Questions

### What is inspection scheduling software?

Plan recurring inspections or respond to new requests, allocate suitable inspectors, and provide the forms and site details they need. Track open and overdue work for review by the people responsible for the program.

### Can Skedulo schedule recurring inspections?

Yes. Build regulatory, safety, quality, property and preventive inspection programs with a set cadence, required form, qualification and owner. Skedulo creates the recurring work and matches it to inspectors whose credentials, location and availability fit.

### How are inspection findings tracked through to corrective action?

When a response fails or a finding is recorded, a configured workflow can create corrective work with an owner and due date. The original finding, photos and readings stay attached. The work is then routed for review or verification before the record closes, and analytics show open corrective work by severity and age.

### Besides safety inspections, what other inspections does Skedulo cover?

Use forms and scheduling for property checks, equipment service, commissioning, quality reviews, and more. Inspections can be recurring or part of a job or shift; connected events and more complex mobile experiences require the appropriate workflow setup.

### Can inspectors work offline?

Teams can use supported Mobile workflows offline, then synchronize when connected. Check the forms and extensions in your implementation; connected actions and some custom experiences need a connection.

### How is Skedulo different from a standalone inspection app?

Inspection apps are built to run and report on inspections, and many schedule recurring checks and track corrective actions. Skedulo starts one step earlier. It matches each inspection to a worker who holds the required skills or certifications and is free at that time, then sends the right form and site details with the job.
