_Who it's for_

## Rosters checked against your rules before they go out.

Qualifications, working hours, rest rules and role coverage all shape who can take a shift. The schedule shows workforce managers, schedulers and workers how those checks apply.

_One Roster Operation_

## Schedule shifts and the work inside them.

Plan fixed-location staffing, shifts for mobile teams, and roles that include both. Keep assignments connected to the relevant worker and availability information.

### Fixed-location coverage

Plan site staffing around operating hours, required roles, breaks, and the coverage needed at different times.

_Illustration: Skedulo coverage plan for Southbank Clinic, Ward B, Sat 8 to Fri 14 Mar: rows Registered Nurse, Enrolled Nurse and Support Worker against the seven days, each cell rostered over required as a bar of slots - a green bar where the day is met, an amber box where it is short - under lever chips Service level 1:4, Minimum 2 per role, Hours 6am - 10pm and Sat 8 open day +1 RN, over a foot of Required 58, Rostered 54, To fill 4 and cost $64,020 of $68,000. The open day lands and Saturday's nurse cell goes short at 2/3; then one allocation fills Sunday's Support Worker gap, 1/2 to 2/2_

### Mobile rosters

Build shifts for mobile teams and coordinate the visits, tasks, and travel within their working hours.

_Illustration: Skedulo mobile app on an iPhone cut off at its lower third: a nurse's Summary for an 8:00am - 2:00pm community shift in South Brisbane, in progress with its timer running and Start break and End shift. Under it, the three home visits on the shift: wound care for Margaret Boyd, complete; medication administration for Ray Tanaka, in progress; a wellbeing check for Glenys Hart. Complete visit is pressed and Ray's visit turns complete, then Start travel is pressed and Glenys's visit shows en route while the shift keeps its own clock_

### Blended operations

Coordinate workers whose shifts include both site-based and mobile assignments, using shared availability and work requirements.

_Illustration: Skedulo shift scheduling worker matching panel: an open Registered Nurse shift on Tue 4 Mar, 2pm to 10pm, Ward B, as a dashed draft card with an empty assignee slot, and under it the clinic's four nurses - Doug Lindqvist, Bridget Hanley, Gloria Benitez, Carol Ng - each with hours booked and four checks: Available, Skills, Qualifications, Agreement. Ticks and crosses resolve left to right with a reason - an Enrolled Nurse, 8h rest after a night, already on the morning - Carol passes all four and rises to the top, Allocate is pressed, the card turns solid with her avatar and she is notified_

_Tempo_

## Work through coverage decisions with Tempo.

Ask Tempo about coverage, review upcoming shifts and prepare offers with your scheduling team. Available actions and approval steps depend on your setup.

[Meet Tempo](https://www.skedulo.com/product/tempo/)

### Worker calls out

A worker cannot make the shift. Review who could take it and who should receive an offer.

_Illustration: Skedulo Tempo taking a sick call from a chat: the scheduler types Bridget Hanley, the name autocompletes as a resource, and sends 'called in sick for the rest of the day'. Tempo thinks it through, opens an issue for Sun 2 Mar on Ward B and gathers her hours, sick leave from Workday, preferred contact and the 12:30 - 6:30 PM shift left uncovered. Once the scheduler starts its plan it records her sick leave, lists three available nurses from Mastermind, has the Policy engine pick Carol Ng for fewest hours, asks before offering her the shift, texts her, and allocates her when she says yes_

### Demand spikes

Compare the new workload with scheduled coverage before adding shifts or changing assignments.

_Illustration: Skedulo Tempo working a demand spike beside the scheduler: Ward B's census forecast for Mon 3 afternoon rose from 24 to 30 patients, so at 1 nurse to 4 patients it needs 8 RNs and 6 are rostered. Tempo reads the forecast, applies the ratio, finds the best-fit RNs and compares staff with agency cost, asks whether to offer both shifts now, and puts forward two offers, Targeted - 3 eligible. Once accepted it sends them, Carol Ng and Gloria Benitez accept, and a session summary closes it_

### Credential lapses

Check the upcoming shifts that require the credential and arrange renewal follow-up or replacement coverage.

_Illustration: Skedulo Tempo working an expiring certificate from its issue: a new issue arrives on a blank screen - Gloria Benitez's Advanced Life Support certificate expires Fri 28 Mar - and becomes the task's header. With the context panel still closed, Tempo gathers context; then the panel opens with her credential - its days left, holder and how to reach her - and the four nights in charge it would cost her. Once the scheduler starts its plan, Tempo reminds her to renew by app message and email and watches two weeks for her new certificate, ready to alert the scheduler and remind her again_

### Open shift unfilled

Check the unfilled shift and decide whether to expand the eligible offer audience or escalate the gap.

_Illustration: Skedulo Tempo working an unfilled open shift beside the scheduler: the Sun 9 afternoon on Ward B needs a Support Worker and a targeted offer to 2 staff has no replies. Tempo reads the offer history, finds the next eligible group and compares it with an agency worker, asks whether to widen to casuals at the Sunday rate, and puts forward Broadcast - 6 eligible. Once accepted it closes the targeted offer, broadcasts, Kevin Maszaros accepts, the nurse unit manager is told, and a session summary closes it_

_How it runs_

## From demand to attendance.

_[ 01 ]_

### Demand & coverage

Use operating hours, workload, service demand, and historical patterns to see when and where coverage is needed.

_Illustration: Skedulo demand forecast panel for Southbank Clinic, Ward B, Sat 8 to Fri 14 Mar: drivers fed in (Patient census 28 beds, Appointments booked 64 a day, Open day Sat 8 Mar as an event band x1.2 RN), translations as chips (1 RN per 4 patients, Minimum 2 RN on ward, Operating hours 6am - 10pm), and the Registered Nurse forecast in hours as a pastel range, a target line and planned bars, every day met. The open day applies: Saturday's target climbs above its bar, the one gap fills in amber, and the foot ticks to RN required 20, RN planned 19, RN to fill 1, cost $64,020 of $68,000 within cap_

_[ 02 ]_

### Shift patterns & roles

Define the roles, skills, and hours the work requires, then draft shifts from templates, patterns, rotations, or open requirements.

_Illustration: Skedulo Apply roster template dialog: the template Southbank 2 weeks, start date 1 Mar 2026 and end date 28 Mar 2026, and a summary of what it will create - applied to 1 - 28 Mar 2026, 56 shifts for 19 employees, 800 hours - above Cancel and Apply_

_[ 03 ]_

### Policy checks

Evaluate eligibility, workforce requirements, and scheduling policy before the roster goes out.

_Illustration: Skedulo policy checks card for Ward B, 1 - 7 Mar: a rail of the moments a scheduling policy is checked at, lighting one by one as a change passes each and landing its result - roster changes: Assign, Doug Lindqvist, Tue 4, 8h rest, Block; Offer, Wed 5, Targeted - 4 eligible, Pass; Swap, Gloria Benitez with Carol Ng, Tue 4, Pass; Publish, Ward B, 5 rules, Pass - then the checks carry on into time: Attendance, Kevin Maszaros out +20 min, Warn; Approve time, SH-4501, 8h 08m, Pass_

_[ 04 ]_

### Published schedules

Publish the approved roster and notify workers of shifts and subsequent changes.

_Illustration: The same Skedulo roster panel after publish: 1 - 28 Mar 2026, Southbank Clinic, Ward B, marked Published with a green pill; the week strip solid, Sat 1 filled, Mon 3 cleared, Fri 7 covered; under it the notices sent on the same three days, each with a green tick - two morning shifts filled, double-booking resolved, cover for Gloria confirmed - then 19 people notified, and a Change log button where Publish stood_

_[ 05 ]_

### Offers & replacements

Offer open shifts, review swaps, and arrange replacements when availability changes.

_Illustration: Skedulo shift scheduling cover request beside a slice of the roster: Carol Ng cannot work Wed 5 (unavailable - family), her 6am - 2pm morning shift at Ward B; under it two who can cover - Gloria Benitez with a green tick (RN, available, rest 16h OK) and Doug Lindqvist with an amber warning (EN, would hit 38h max) - the line Nurses Award (QLD) checked, then Decline and Approve; on the slice, Wed 5 tagged Needs cover, the morning shift slides from Carol's cell down to Gloria's, and the card foot turns green: Confirmed, Carol notified_

_[ 06 ]_

### Time review

Compare scheduled and recorded hours, resolve differences, and prepare approved records for connected systems.

_Illustration: A Skedulo card comparing scheduled and worked hours for Ward B's afternoon, Sat 1 Mar: on one 2 pm to 10 pm axis, Bridget Hanley and Kevin Maszaros each have a grey scheduled bar over a blue worked bar, the plan's start and end marked through both. Amber marks and tags show each difference - Bridget: early start 15 min, missed time 1h 30m; Kevin: late arrival 12 min, extended 20 min. A line on the card's floor reads scheduled 16h, worked 14h 53m._

_Roster building_

## Coverage by role, location and hour.

Build shifts for the roles and hours your operation needs. Gaps and configured scheduling warnings are available for review before publication, with subsequent changes tracked against the schedule.

_Illustration: Skedulo roster panel before publish: the period 1 - 28 Mar 2026 for Southbank Clinic, Ward B, marked Draft; a week strip Sat 1 to Fri 7 with three dashed shift cells a day in morning green, afternoon blue and night purple, two amber Open cells on Sat 1, a rose double-booking on Mon 3 and a cyan Offer cell on Fri 7; under it the checks, each with its alert - Sat 1 two unassigned morning shifts, Mon 3 Doug Lindqvist double-booked, Fri 7 one shift under offer - and the Publish button held beside 3 to resolve_

_Workforce Requirements & Scheduling Policy_

## Your workforce policies, applied to assignments.

Qualifications, working hours, rest requirements and role coverage all affect who can take a shift. Configure the relevant scheduling checks and approval steps for your operation, including how overtime is reviewed.

**Review assignment decisions alongside the workforce requirements and scheduling rules involved.**

## Frequently Asked Questions

### What is field service shift planning?

Field service shift planning decides who works when for mobile teams, then fits the visits, tasks and travel inside those hours. It differs from single-site rostering because the shift and the jobs inside it have to be planned together. Skedulo plans both on one platform, including for workers whose day mixes site-based and mobile work.

### What are the top three benefits of better shift and roster control for field service dispatchers?

The shift schedule shows who is working before jobs are allocated. When coverage changes, dispatchers can compare replacement options and offer work to an eligible audience, using the checks configured for their operation.

### Can Skedulo support fixed-location and mobile rosters?

Yes. Skedulo plans site staffing around operating hours and required roles, builds shifts for mobile teams with the visits and travel inside them, and coordinates workers whose shifts include both. All three draw on the same worker availability, skills and requirements.

### How can workers claim open shifts or request swaps?

Eligible workers can receive offers, respond to open shifts, maintain availability, and request swaps or cover through the frontline experience. The workflow can apply qualification, availability, agreement, policy, overtime, and approval checks before the roster changes.

### How does Shifts & Rosters relate to Skedulo Shift?

Shift Scheduling is the Skedulo product for planning shifts, applying scheduling rules and offering open work. This page focuses on operations where shifts may include visits, tasks and travel, as well as work at a fixed location.

### Can one shift include several visits at different addresses?

Yes. Plan visits at different addresses within a worker's shift, accounting for travel and the available hours. If a visit runs late, review the remaining assignments before changing the plan.
