_Who it's for_

## Tasks with an owner, instructions and a due time.

A task can sit inside a field job, run within a shift or stand alone. Managers, supervisors and the people doing the work each see what's done, late or blocked.

_One Task Operation_

## A task can be part of a job, or a job in itself.

Manage the steps in a field visit, the responsibilities on a shift and standalone work with its own schedule.

### Inside a field job

Sequence the work a person or crew completes at a site, with instructions, dependencies, required evidence, and a clear completion state.

_Illustration: Skedulo mobile job details on an iPhone in signal at 4:36: under the blue app bar, the map of 1160 Pioneer Way, Denver, and the quarterly site inspection, JOB-4803, in progress. Under Tasks, Test emergency lighting (done at 4:12 PM) and Tag out isolator AST-1152 (done at 4:24 PM) are ticked and each marked SYNCED in green, so the worker can see what went through; Replace fire door closer is still open_

### Inside a shift

Assign opening, service, safety, replenishment, handover, or closing tasks within a worker’s shift.

_Illustration: Skedulo mobile app on an iPhone cut off at its lower third: a support worker's Summary at 1:52, today's 2pm - 10pm shift starting in 8 minutes and the next three shifts. A banner offers an open shift on Sunday 9 March; its page shows the clinic on a map, the role and Accept, which is pressed, and Sunday 9 March joins the upcoming shifts. At 2:00 the shift's page opens: Start shift is pressed, the shift is in progress with its start time recorded, and at 5:48 the medication rounds task is ticked done_

### Recurring or standalone

Create recurring or standalone assignments for sites, teams, and assets, including work triggered by configured events.

_Illustration: Skedulo mobile handover page on an iPhone for JOB-4803, to Aaron Feldman: under Completed, the site checklist submitted and signed lands, then two open tasks with their owners: replace the isolator on AST-1152 (Aaron Feldman, JOB-4871, Friday 15 August) and close out the permit before it expires (Helen Pryor). A two-line handover note is typed, and Send handover becomes a green notice: sent to Aaron Feldman at 5:24pm_

_Tempo_

## Work through open tasks with Tempo.

Ask Tempo about outstanding tasks, review blockers and coordinate assignments with the responsible team. The records and actions available depend on your setup.

[Meet Tempo](https://www.skedulo.com/product/tempo/)

### Task overdue

Check the task's status with its owner and decide whether to reassign or escalate it.

_Illustration: Skedulo Tempo following up from its issue: Hector Salinas hasn't answered the offer for JOB-4855, a Thursday early start. The issue lands on a blank screen and becomes the task's header; Tempo reads the open offers and today's timing, and the context panel opens on what is still waiting - two Thursday offers, Hoa Pham double-booked around JOB-4858, four jobs to allocate next week. Once the dispatcher starts the plan, Tempo texts Hector, who accepts, offers JOB-4857 to Curtis Mensah, who accepts, and moves JOB-4863 to clear Hoa's overlap, keeping the four jobs on its list_

### Task unassigned

A task has no owner. Check who has the time and skills to take it on.

_Illustration: Skedulo Tempo at the start of a dispatcher's day: Tempo greets Mark Doherty at 7:30 AM and writes his Morning brief beside the Issues inbox - 41 jobs today, 11 technicians on, 94% covered; overnight it moved a job to Thursday, synced Gloria Benitez's Friday leave from Workday and sent 23 arrival windows; first, a skill gap on JOB-4866 in Aurora, two offers unanswered and rain from 3:00 PM. Mark opens the skill gap, and Tempo has the context and a plan ready: Aaron Feldman, who holds the certificate, takes the job with Andre Bassett riding along_

### Task blocked

A task cannot proceed. Check what needs to happen first and who owns that step.

_Illustration: Skedulo Tempo working a storm warning from its issue: lightning and hail from 2:00 to 5:00 PM put three rooftop jobs at risk. The warning lands in red on a blank screen and becomes the task's header; with the context panel closed, Tempo reads the forecast, the rooftop work and the indoor work waiting. The panel opens on the storm hour by hour and the rooftop jobs for Curtis Mensah and Hoa Pham. Once the dispatcher starts the plan, Tempo moves the rooftop jobs to a clear Thursday morning, fills the afternoon with indoor work, and tells the customers and the crew_

### Task declined

Check why the task was declined and decide whether to revise or reassign it.

_Illustration: Skedulo Tempo approving shift swaps from their issue: two swap requests for Ward B arrive on a blank screen and become the task's header. With the context panel closed, Tempo reads the roster, each worker's role and hours and the Nurses Award 2020; the panel opens on the two requests and the rules. Carol Ng and Gloria Benitez's day-shift swap passes on role, hours and rest; Kevin Maszaros, a Support Worker, can't take Doug Lindqvist's Enrolled Nurse evening. Once the scheduler starts its plan, Tempo swaps Carol and Gloria on the roster, tells them, and declines Kevin's request with the reason_

_How it runs_

## A task's lifecycle.

_[ 01 ]_

### Task creation

Create a task directly or configure a workflow to create it from a request, form response, or connected event.

_Illustration: A Skedulo workflow canvas for Failed check follow-up, in draft, built a step at a time: Site checklist submitted, then the rule Any check failed. On Then, Request approval from Wade Brennan and Create follow-up, Replace isolator; on Else, Complete the job and Update work order, its tile the Salesforce logo. Each card lands with the line into it_

_[ 02 ]_

### Scope & instructions

Set the required outcome, responsible role, priority, timing, instructions, dependencies, and completion requirements.

_Illustration: Skedulo Form Builder, Settings tab, completion for the Site checklist: Required to complete the job switches on and an amber note lands under it - JOB-4803 cannot be completed until the Site checklist is submitted. Submissions moves from Multiple submissions to One submission, where teams review and update the same one, and the line under it becomes: on JOB-4803, reopening the checklist updates its one submission_

_[ 03 ]_

### Priority & allocation

Place the task in a shift or job, assign it directly, offer it to qualified workers, or route it through a workflow.

_Illustration: Skedulo offer for a backflow test sent to seven eligible technicians by push and in-app notification under a first-to-accept rule - the top three pending, then Wade Brennan accepts, the others close and he is allocated automatically_

_[ 04 ]_

### Work in progress

Give the worker clear steps, relevant context, communication, and required forms in the mobile experience.

_Illustration: Skedulo mobile form fields in one column, each under its label: Arrival time, Wednesday 13 August at 4:05pm; Customer name, Helen Pryor; Overall outcome, Pass with Actions; and Access notes - signed in at reception and escorted to the plant room, enclosure key collected on arrival and returned before leaving - with the hint under it: how you got on to location, helpful for whoever attends next_

_[ 05 ]_

### Blockers & reassignment

Reassign, escalate, or create follow-up work when a task stalls.

_Illustration: Skedulo Tempo's queue of issues sorted by state, on a pale blue panel. Under In progress, Doug Lindqvist called out: JOB-4841 is open while Tempo works it - Gather context ticks done with 3 sources, Compare technicians finds Gloria Benitez fits, Prepare the change readies the reassignment to Gloria - and a line beside Tempo's mark says what it is doing as it goes, from reading the absence notice to comparing Gloria, Bridget and Aaron, until the change is ready for review. The walk-in cooler at Harvest Table is in progress too, and Waiting for a response runs on below_

_[ 06 ]_

### Review & completion

Review the result, retain the task record, and share relevant updates through configured integrations.

_Illustration: Skedulo card for JOB-4803, completed Wed at 5:21 PM, and its work going out with nothing to export: the job status to the Salesforce work order at 5:21 PM, the completed work to Finance for invoicing at 5:22 PM, and Gloria Benitez's approved hours, 7.25, to Workday on Thursday at 8:30 AM - 3 sent, each ticking green in turn._

_Work Board_

## Task progress by owner, site and due time.

Configured views show unassigned tasks, overdue work and items awaiting review. Managers can investigate a delay with the assignment and responsible person in view.

_Illustration: Skedulo web app's Site approvals list on a hatched ground. The default view lists 38 site approvals with each job, location, approval status and requester. A filter is added - Approval status is Pending - and 8 remain. Access requirements replaces Requested by, so each site's needs show in words: Pioneer badge, permit to work, contractor badge, site induction. Sorted by Needed by, soonest first, today's fire damper check leads. Saved as Pending site approvals for Everyone, the view menu shows it ticked, then the saved list holds._

_Mobile_

## Instructions at the point of work.

Workers can access site details, instructions and attachments in Mobile, alongside the assignment and its timing.

- **Field day** — Include travel, site details, and job instructions for tasks carried out across locations.
- **Shift day** — Show in-location priorities, task instructions, and handover details for work during a shift.
- **Standalone tasks** — Show recurring or standalone assignments with their own instructions and due times, independent of a job or shift.

_Illustration: Skedulo mobile app on an iPhone, the blue app bar on every page: Kevin's Saturday 2pm - 10pm shift at Southbank Clinic, in progress, and its Tasks list in the manager's order - Handover notes and Medication round 3pm marked High, Ward B rounds, Discharge support, Incident report - over a count line and a thin bar. A Task added banner from Jen Alvarez drops in over the bar and Restock treatment room slots in under Ward B rounds, 0 of 6. The first task's page opens with its priority, due time and note; Mark done ticks it, Done 2:22 pm, 1 of 6; the medication round ticks at 3pm, 2 of 6_

_Completion_

## Completed tasks and outstanding work.

**Record completed steps and unresolved issues. Required forms, photos and notes stay with the job or other record used by your workflow.**

### Supporting evidence

The form, reading, photo, signature or note captured on the job, tied to its completion requirement.

### Completion review

Review required steps and any unresolved exceptions before recording completion.

### Completion time

Record completion time against the task using the configured workflow.

### Remaining work

Assign remaining work and share relevant results with connected systems.

_Illustration: Skedulo mobile on an iPhone, open on the #north-region channel at 3:48 PM: Gloria Benitez's message tells @Mark Doherty that unit 2 is back in service and lands with a photo from the job - the red-handled shut-off valve and pressure gauge on the unit's pipework - and the signed commissioning-sheet.pdf (1.2 MB) under it, then Mark's thumbs-up reaction lands on the message as a quick acknowledgement instead of a reply_

_Messaging_

## Discuss the task without leaving Skedulo.

Message a colleague or use a team channel to ask a question, share a document or discuss a blocker. Office and frontline teams can communicate in the apps they use for work.

_Illustration: Skedulo web messaging card for the #north-region channel on a pale blue ground. Gloria Benitez asks at 2:05 PM: How do I get into the site? Leaving for Birch St now. Her message carries a link to JOB-4821, Water changeover service, Wed 13 Aug, 2:40 PM. The link opens into the job's details: account Pioneer Health Systems, address 123 Birch St, window 2:40 - 4:10 PM, technician Gloria Benitez, status Dispatched. Dana Pruitt answers at 2:08 PM: use the loading dock gate on Birch St, the code is 4417, and Helen will meet you at the dock._

_Automation_

## Task workflows that respond to events.

A form response, status change or due date can trigger a configured workflow. Create follow-up tasks, notify the responsible team and route exceptions for review.

_Illustration: Two windows on a hatched ground. Above, the Skedulo automation canvas: a Rules violation trigger, Required qualifications, runs and is checked, then the step Create a Tempo task, for Mark Doherty, runs and is checked, and a blue line carries on down into Tempo. There a new issue arrives in red on a blank screen and flies into the task's header: JOB-4839 needs a qualified technician, from the automation Qualification check, for Mark Doherty. Its records land - JOB-4839, Brooke Feeney's expired Working at heights ticket, the rule - and Tempo starts finding who is qualified on Friday._

_Analytics_

_Illustration: Skedulo workflow card, Failed check follow-up, running on JOB-4803: three steps light in turn, each tile blue as it runs and green when done, a wire filling between them - Status updated at 5:17 PM, asset AST-1152 set to Awaiting follow-up; Approval requested, waiting for Wade Brennan, then approved by him at 5:18 PM; Follow-up job created at 5:18 PM, JOB-4871, Replace isolator_

## CWPS reclaimed 20-25 hours a week and $170,000 a year.

- **Before**
  - Manual, spreadsheet-based dispatch across 300+ client relationships.
  - Missed appointments and senior-engineer hours lost to low-value dispatch work.
- **With Skedulo**
  - Task assignment and status centralized across the whole team.
  - Senior engineers redirected from dispatch busywork to higher-value field and internal work.
- **Outcome**
  - 20-25 hours a week reclaimed.
  - $170,000 a year in redirected senior-engineer time.

> Suddenly we found we had 20-25 hours that now weren't being lost. So we would re-assign people who had extra hours to internal projects or do more field work where we were normally sending senior engineers... That's $175 an hour. So that's a significant number.
>
> — George Estrada, Chief Technology Officer, CWPS

- **$170K** — reclaimed annually from 20-25 hours a week of redirected senior-engineer time

## Frequently Asked Questions

### What is frontline task management?

Frontline task management gives each piece of work away from a desk a clear owner, instructions, due time and completion requirement. Tasks can sit inside a field job, run within a shift, or stand alone on their own schedule. Managers see what's done, late, blocked or unassigned, and workers see what needs to happen next.

### How does frontline task management fit into a field service workflow?

A field job is scheduled and dispatched; its tasks describe what the technician needs to do. Add instructions and completion requirements, and capture forms and evidence on the job. Creating tasks from forms or connected events requires a configured workflow.

### What's the difference between task management and work order management?

A task can be a single required action inside a job, shift, or recurring routine. A work order usually carries a broader unit of work with its own schedule, resource requirements, status, documentation, and closure. Skedulo can connect both levels.

### Can a task require a form or proof?

Tasks can be made mandatory, so a job can't be closed until they're checked off. Evidence such as forms, photos and signatures is captured on the job itself, where a form can be required before the job is completed.

### What happens when a task is blocked?

Record what is preventing the work and involve the person responsible for resolving it. The team can revise the task, arrange help, or reassign it. Tempo can help review the available records and prepare next steps.

### How is Skedulo different from a general task or to-do app?

In Skedulo, tasks can sit within scheduled jobs and shifts or run as standalone work. Teams see the instructions alongside their assignments, and managers can review progress with the relevant site and worker details.
