_Who it's for_

## Time records reviewed before they reach payroll.

A time record passes through three roles on its way to payroll. Frontline employees record and explain their time, shift supervisors check it against the assignment, and payroll managers receive the record once questions are resolved.

_One Time & Attendance Operation_

## Review time across shifts and field visits.

Record and review time for site-based shifts, mobile jobs, and days that include both. Keep entries linked to the relevant assignment so reviewers can check overlaps and missing information.

### Shift Time

Capture scheduled start and end, clock-in, breaks, clock-out, absence, lateness, and manager-reviewed variance.

_Illustration: Skedulo mobile app on an iPhone on a hatched ground, the phone cut off at the bottom: Kevin Maszaros's Today card at 10:20 PM, his afternoon shift at Ward B, Southbank, the timer past 8 hours. He taps End shift and the shift's time opens: scheduled 2:00 to 10:00 PM in grey over the actual 2:12 to 10:20 PM in blue, the break in both, 20 minutes over in amber; clock in 12 min late for traffic, the break as scheduled, clock out 20 min over. He picks Handover ran over, submits it to Jen Alvarez, and it comes back approved and sent to payroll._

### Field Time

Capture travel, arrival, start, completion, actual duration, and evidence tied to the job or visit.

_Illustration: Skedulo mobile app on an iPhone cut off at its lower third, showing a field technician's agenda for Wednesday 13 August: the week strip, a map of the afternoon with numbered stops, and the jobs on a numbered rail with the drive between them. The water changeover at 123 Birch St is opened: its page shows the site on a map, In progress, its tasks; the site contact sign-off is ticked and Complete turns it into Job complete at 3:28pm. Back on the agenda the job shows Complete and the quarterly site inspection, 27 min and 3.3 mi away, is next_

### Blended Workdays

Keep entries for visits, activities, breaks, and travel linked to the working day so overlaps or missing time can be reviewed.

_Illustration: A Skedulo card reconciling Kevin Maszaros's Sat 1 Mar afternoon as three layers on one time axis from 2 pm to 10:30 pm, each with its sum on its caption line: Shift 8h 08m over the grey 2:00 - 10:00 pm bar with the break notched out; Jobs 6h over two blue job bars, Ward B rounds 2:15 to 5:30 and Discharges 7:00 to 9:45; Tasks 3 of 3 over three green ticks, named under the axis with their times - Handover notes 3:10 pm, Medication rounds 4:40 pm, Incident report 9:30 pm_

_Tempo_

## Time queries, with context from Tempo.

Use Tempo to help bring the relevant schedule and work details into a time query. The worker or authorized reviewer confirms corrections; available actions depend on your setup.

[Meet Tempo](https://www.skedulo.com/product/tempo/)

### Missed clock-out

Review the shift and ask the worker to confirm when they finished before recording a correction.

_Illustration: Skedulo Tempo approving a pay period's timesheets from its issue: 19 Ward B timesheets for Sat 1 - Fri 7 Mar arrive on a blank screen and become the task's header. With the context panel closed, Tempo checks them against the roster and the Nurses Award 2020, then the panel opens on 800 hours worked against 792 rostered. 17 match and two exceptions come into the feed. Once the scheduler starts its plan, Tempo matches Doug Lindqvist's missing clock-out to his shift, approves Kevin Maszaros's 20 minutes as overtime, approves all 19 at once and sends them to payroll_

### Late start

The recorded start is later than planned. Check the entry and the worker's explanation.

_Illustration: Skedulo Tempo working a late technician from its issue: travel tracking flags Gloria Benitez, whose drive to JOB-4821 at Pioneer Health Systems now arrives at 2:34 PM after a crash on Interstate 25, past the 2:00 - 2:30 PM window. The issue lands on a blank screen and becomes the task's header; with the context panel closed, Tempo reads where she is, times routes and reads the job. The panel opens on her drive and the job's map, and Tempo picks Santa Fe Drive, 22 minutes sooner. Once the dispatcher starts the plan, Tempo sends Gloria the route, texts Helen Pryor and checks her 4:00 PM holds_

### Break exception

Compare the planned and recorded break, then confirm what happened before changing the entry.

_Illustration: Skedulo Tempo approving shift swaps from their issue: two swap requests for Ward B arrive on a blank screen and become the task's header. With the context panel closed, Tempo reads the roster, each worker's role and hours and the Nurses Award 2020; the panel opens on the two requests and the rules. Carol Ng and Gloria Benitez's day-shift swap passes on role, hours and rest; Kevin Maszaros, a Support Worker, can't take Doug Lindqvist's Enrolled Nurse evening. Once the scheduler starts its plan, Tempo swaps Carol and Gloria on the roster, tells them, and declines Kevin's request with the reason_

### Duration mismatch

Compare the overlapping records and supporting explanations before deciding which entries need correction.

_Illustration: Skedulo Tempo following up from its issue: Hector Salinas hasn't answered the offer for JOB-4855, a Thursday early start. The issue lands on a blank screen and becomes the task's header; Tempo reads the open offers and today's timing, and the context panel opens on what is still waiting - two Thursday offers, Hoa Pham double-booked around JOB-4858, four jobs to allocate next week. Once the dispatcher starts the plan, Tempo texts Hector, who accepts, offers JOB-4857 to Curtis Mensah, who accepts, and moves JOB-4863 to clear Hoa's overlap, keeping the four jobs on its list_

_Compare_

## Actual hours, alongside the plan.

A late start, a missed break or overlapping entries can require a closer look. Review recorded time alongside the assignment and supporting information before making a correction.

### Attendance & time

Compare recorded attendance with the scheduled assignment, including start, finish, duration, and any adjustments made afterward.

_Illustration: A Skedulo card comparing scheduled and worked hours for Ward B's afternoon, Sat 1 Mar: on one 2 pm to 10 pm axis, Bridget Hanley and Kevin Maszaros each have a grey scheduled bar over a blue worked bar, the plan's start and end marked through both. Amber marks and tags show each difference - Bridget: early start 15 min, missed time 1h 30m; Kevin: late arrival 12 min, extended 20 min. A line on the card's floor reads scheduled 16h, worked 14h 53m._

### Breaks

### Overlap & evidence

Duplicate or conflicting time across shifts or leave, backed by supporting evidence.

_Illustration: Two Skedulo shift cells in rose with alert marks, one person booked into both on the same day: the 2pm - 10pm afternoon shift and the 6am - 2pm morning shift, 7 hours each - the overlap the roster flags for review_

_Rules & Policy_

## Your time review and approval rules.

Configure checks for missing entries and time differences, with approval requirements suited to your operation. Reviewers can use the schedule, recorded hours and supporting information to investigate exceptions.

**Record corrections, reasons, and approvals with the time entry.**

### Worker confirmation

For missing or disputed actuals.

### Manager review

For attendance, completion, or operational context.

### Payroll or finance review

For pay, billing, allowance, or cost implications.

### Bulk approval, correction & escalation

Group suitable records for approval; return, correct, or escalate exceptions that need a closer look.

_Completion_

## Approved time, with a record of the review.

**Keep recorded time, corrections, explanations, and approvals together. Share approved information with connected payroll or finance systems through configured integrations.**

### Supporting information

Review the schedule, time entries, and worker explanation, and resolve outstanding questions.

### Rules & exceptions

Check the rules and exceptions supported by your configured review workflow.

### Recorded approval

Use the authorized reviewers and approval steps configured for your operation.

### Data exchange

Send the agreed data to connected systems according to the integration.

## From weeks of processing to a couple of days.

- **Before**
  - Spreadsheets, timesheets, calendars, emails, and phone calls to coordinate caregivers.
  - No centralized way to track who was assigned where.
- **With Skedulo**
  - Centralized scheduling and communication, fewer calls and emails.
  - Lower error rates and streamlined payroll.
- **Outcome**
  - An operating process that once took weeks now takes a couple of days.
  - More time back for the team that used to chase the schedule.

> When I saw the manual system of spreadsheets, calendars, timesheets, calls and emails, I knew there had to be a better way. Thankfully there was.

## Frequently Asked Questions

### What is frontline time and attendance?

Frontline time and attendance connects scheduled shifts and field assignments with the time workers actually record. It covers clock-ins, breaks, travel, corrections, review and approval. Because each entry is linked to the shift, job or visit, reviewers can check differences with the context in front of them before anything reaches payroll.

### How does time and attendance help frontline workers?

Workers record time from their phone where the work happens and can explain a late start or missed break at the moment it happens. If an entry is missing, they submit a correction with a reason instead of chasing a manager later. They can also see whether each record is submitted, returned, corrected or approved.

### What do payroll, finance and HR teams get from it?

They can receive reviewed time records through configured integrations, with the supporting information agreed for the handoff. Resolve missing entries and questions about hours with the authorized reviewers before sending the record.

### How are time exceptions reviewed?

Configured rules identify missing, late, overlapping, break, duration, or attendance variance. The record can be routed with schedule, worker, task, agreement, policy, and evidence context to an authorized reviewer.

### Does Skedulo calculate payroll?

Skedulo supports time capture, review, approval, and data exchange with payroll systems. Payroll calculations and pay interpretation depend on the payroll tools and integrations used in your implementation.

### How is Skedulo different from a standalone time clock app?

Time entries sit alongside scheduled shifts and field visits, including workdays that involve travel between locations. Reviewers can use those assignments and worker explanations to investigate differences.
